IDS is seeking a full-time Assistant Director of Admissions to begin immediately. The Assistant Director of Admissions manages all aspects of admissions and enrollment activities at IDS. Key responsibilities include: recruiting and assessing applicants; consistent, responsive engagement with constituents including inquiry calls and email; conducting parent interviews for prospective families; scheduling and conducting tours and visits; coordination of the admissions process; event planning; and enrollment database management. This is a full time, 12 month position to begin August 1, 2019 or sooner.
The Assistant Director of Admissions directs the admission and enrollment processes at IDS. He/she assists prospective students and their families through the ongoing process that begins with the family’s first contact with IDS through the admissions decision and if applicable, enrollment. The Assistant Director of Admissions Reports directly to and collaborates with the Director of Advancement to develop, execute, and evaluate the school’s recruitment and retention plans.
Manage the school’s Admissions/Enrollment Processes
As the first face of the School for prospective families, provide information and support through the admissions process.
Recruit prospective families and student applicants.
Answer and screen admissions phone calls.
Schedule and conduct campus tours .
Coordinate the classroom visit program: coordinate with faculty to plan activities; create visit/revisit day schedules; communicate with families, faculty, and student hosts; prepare day-of schedules and badges for students
Schedule, administer, and assess grade level evaluations for admission candidates.
Work with learning center specialist to responsibly gather extra information for applicants as needed.
Assess applicants, including parent interviews, records review, recommendation review, student evaluations.
Advise prospective students, parents/guardians, and placement counselors on admissions and financial aid policies and procedures.
Follow inquiries and applications in process to completion; Manage the completion and evaluation of admission application and financial aid materials.
Manage admissions calendar including school tours, interviews, and visit days.
Sit on admissions committee and participate in the assessment of applications.
Maintain all admissions records in an organized manner.
Work with the Business Office to process signed contracts from new and returning students.
Participate in re-enrollment activities, outreach, and follow-up.
Manage enrollment and admissions data
Maintain and manage admission files.
Maintain and manage the enrollment database including data entry, data analysis, queries, and reporting.
Generate data reports .
Provide enrollment data and net-tuition revenue data to school administration.
Develop and implement data management processes to enable strategic use of internal and external market data.
Support annual updating and reporting for various surveys and school associations.
Organize and execute Admissions events: including open houses, open visit days, fairs and living room chats.
Organize and deploy Admissions volunteers.
Support and coordinate the Student Ambassador Program: training, oversight, scheduling, and evaluation, as well as strategic planning for future years
Support and coordinate the Parent Ambassador Program: training, oversight, scheduling, and evaluation, as well as strategic planning for future years
Communicate with prospective families, current families, and alumni.
Assist with proofing and editing admissions marketing materials.
Assist with developing the major communications that are sent to prospective families and current families.
Coordinate communications and outreach to alumni.
Participate actively in the IDS school community.
Become familiar and connect with students, faculty, parents, alumni and school programs.
Participate in student, parent, and community activities.
Engage with internal and external constituencies as a representative of the school.
Fulfill school-related duty assignments.
Additional responsibilities as assigned.
Experience and Skills Required:
Provide excellent customer service to prospective and current families
Strong attention to detail and outstanding organizational skills
Strong oral and written communication, proofing, and editing skills
Outstanding technical skills in technology application including, but not limited to, knowledge of Google Suite and database use
Able to learn, implement, and maintain software and database systems
Demonstrate initiative and proactive planning; Ability to manage and follow through with multiple tasks and meet deadlines
Ability to maintain confidentiality and trustworthiness
Flexibility in a fast-paced environment; approach tasks with energy and a sense of humor
