The Assistant to the Office of External Relations performs a wide variety of administrative and operational tasks to maintain an effective and well-organized External Relations Office. This position assists the Associate Head of School for External Relations on day-to-day initiatives, and supports the entire team’s projects and ensures a smooth flow of its general operations, which includes assisting donor relations, marketing/communications, alumni relations, admissions and event management. This role requires initiative, problem solving skills, independent judgment, attention to detail, and advanced organizational skills. This Office of External Relations Assistant reports to the Associate Head of School for External Relations.
Manages the Associate Head of School for External Relations Directors’ calendars, coordinating with the Office of External Relation’s team and Milken’s staff to schedule internal and external meetings.
Serves as constituent-facing contact for Office of External Relations, exhibiting best practices in customer service and experience.
Supports the Development Office in data entry, cleaning up records, executing basic queries, and gift processing as necessary; cross-trained to serve as a back-up when coverage is needed.
Supports the Admissions Office in recruitment and retention efforts.
Helps plan special events including, coordinating logistics for various meetings/briefing calls/events. This includes, but is not limited to: tracking RSVPs, coordinating and ordering event supplies, coordinating with event vendors, etc.
Serves as point person for handling all meeting coordination (scheduling, agenda, note taking, food/room/location reservations, etc.) for: team meetings, committee meetings, donor visits, and other such large meetings.
Provides administrative support to the Development and Communications Offices.
Tracks and processes all department invoices and contracts.
Orders supplies and materials and managing department subscriptions.
Maintains strong and collaborative working relationship with Assistant to the Head of School.
Participates in all External Relations Leadership Team Meetings.
