Peddie School in Hightstown, N.J., is seeking an organized, detail-oriented, and fun Office Manager and Campaign Assistant who will join a collaborative and high-performing Alumni and Development Team. A successful Office Manager and Campaign Assistant will also be self-motivated, collegial, collaborative, and highly capable of managing multiple and varied projects at the same time.
Founded in 1864, Peddie School is an independent, coeducational, college preparatory school of 545 students, grades 9 through post-graduate. It is primarily a boarding school, with 63 percent of students and 90 percent of the faculty living on campus. In addition to its engaged and accomplished student body, Peddie’s extraordinary resources include the highly professional, collaborative and dedicated faculty, an innovative and rigorous curriculum and an attractive, modern 280-acre campus located midway between New York City and Philadelphia.
Thanks to the generosity of Ambassador Walter H. Annenberg ’27 and other donors, Peddie now ranks among the most highly endowed independent schools in the nation. Its $345 million endowment enables the school to offer more than $8+ million in financial aid to 40 percent of the student body.
This is an exciting time at Peddie under the leadership of Headmaster Peter Quinn who, alongside Assistant Head of School for Development Karyn Vella, has embarked upon an $80+ comprehensive campaign, the largest in the school’s history. Currently in the leadership phase, the campaign is focused on creating a culture of philanthropy while raising endowed funds for scholarship, faculty and programs, as well as for facilities and annual giving.
Reporting to the Assistant Head for Development, the Office Manager and Campaign Assistant will play a central role in supporting the needs of the office and the needs of the campaign. Principal duties include:
Budget and Billing:
Maintain office budget and accounts, process bills and credits, keep A&D budget spreadsheet, and perform monthly update of each account; process monthly VISA bills for directors; and
Work collaboratively with the Business Office and the Assistant Head for Development on all matters related to the budget and billing; and manage all external contracts.
Calendar and Office Management:
Serve as manager of first impressions for all visitors to A&D.
Oversee A&D online calendar; manage requests for time off, vacation, sick, and personal days; and manage calendar requests for Assistant Head for Development as needed.
Maintain a healthy pulse on the office and the team in partnership with the Assistant Head for Development;
Assist with welcoming new employees by serving as the contact for setting up technology and business office paperwork;
Order office supplies; perform all database support as needed; answer main telephone line for school; and manage job postings.
Manage and update excel spreadsheets as needed for campaign work; manage volunteer communication as needed for campaign work; and
Manage logistics of campaign visits and follow-up with Assistant Head for Development; and perform new campaign tasks as the campaign evolves.
Meeting and Event Support:
Coordinate logistics of committee meetings and team meetings by scheduling locations, preparing and sending notices; and preparing agendas and meeting packets;
Assist in the creation and printing of event-day print materials; gather event-day materials; and
Provide flexible support to colleagues for events, meetings, Reunion Weekend, and Swetland House as needed.
Bachelor’s degree preferred;
Minimum of five years of office management experience;
Energetic, self-motivated, eager to learn new things, and enthusiastic about contributing to a team;
Proven ability to work with a high level of independence as well as collaboratively within a team, maintain confidentiality, prioritize multiple projects simultaneously and manage time effectively;
Outstanding interpersonal and communications skills, characterized by a gentle manner coupled with the ability to listen, speak, and write well.
Proficiency in Microsoft Excel and the Google platform is required; and
Proficiency with The Raiser's Edge is preferred.
