General tasks include: answering phones, managing the admission database, communicating to prospective students and parents, coordinating office calendars, organizing prospective family visits, and event planning.
Manage the admission database, including extensive data entry, mail merges, and report running
Serve as the primary contact, through phone, email and in-person for the lower and middle school admission office
Organize and manage the flow of data in the office, both electronically and through a large quantity of mailings
Coordinate and schedule tours, visits, and interviews
Organize and own the overall administrative management of the office– including ordering supplies, scheduling, greeting families, processing inquiries and applications, etc.
Manage and track the admissions process for grades K-8 from point of inquiry through enrollment, including, but not limited to tours, interviews, screening coordination, decision and contract signature.
Respond to all email and phone questions from prospective families, providing a positive parent experience.
Additional day-to-day responsibilities as requested by the directors of admissions
Provide outstanding customer service to prospective and current families, in person, on the telephone, and via digital communication throughout the entire process, from inquiry through enrollment.
Coordinate and schedule various on and off-campus events including, but not limited to school visits, campus visits, interviews, shadow days, and other components of the admission process.
Manage the input and export of data into the admission database, including entry and tracking of inquiries, applications, scanning and indexing supporting documents, and applicant statuses using our application management system
Represent Harbor Day as the first point of contact
Demonstrate a warm, friendly, informed, positive, and skilled professional demeanor
Schedule meetings, tours, shadow visits, and interviews for prospective families throughout the year
Create and maintain hardcopy and electronic applications through each stage of the admission process and track all credentials in Blackbaud (admission software)
Ensure accuracy in data entry, data management, and application management
Maintain databases and generate reports for administrators as needed
Maintain calendars for admission staff members
Bachelor’s degree is required in communications or a related field
Ability to receive and process confidential/sensitive information with discretion and in accordance with established guidelines or legal standards
Prior experience with/proficiency in Blackbaud software programs will be weighted strongly
Microsoft suite knowledge
