The Calhoun School, seeks an experienced, detail-oriented and efficient professional to serve as full-time Assistant to the Head of School (HOS) and Associate Head of School (AHOS).
The Assistant reports to the Head of School (in close coordination with the Associate Head of School) and will provide primary executive and administrative support to the HOS and AHOS. In addition, this role will provide primary support to the Board of Trustees.

ESSENTIAL RESPONSIBILITIES AND TASKS
Provide administrative support to the HOS and AHOS, including, but not limited to scheduling meetings, preparing documents and presentations, drafting, editing and managing correspondence, expense reporting and event planning; answering phones, coordinating general office operations, greeting and attending to school visitors;
Serve as primary staff liaison to Trustees, including scheduling meetings, organizing, attending and recording minutes for monthly board meetings; maintaining and updating Board portal and board calendar; planning annual Trustee Dinner;
Support the efforts of the Communications Department in promoting the school’s mission;
Support the Head’s role in development and fundraising, in close coordination with the Development Department;
Coordinate with Enrollment Department to ensure Head’s full participation in events aimed at prospective and current families, as well as other activities intended to promote the school’s distinctive brand;
Schedule and support meetings of the school’s administrative leadership team;
Gather data as needed by the Head of School or Board of Trustees to support development and implementation of strategy;
Serve as key liaison between school administration and parents;
Update elements of website and website calendar;
Create online forms, online registrations, and surveys when needed;
Manage communications from the Head of School and Board of Trustees to the school community;
Perform other duties as assigned by the Head of School.
Proficiency with a range of standard office applications (including all components of MS Office) and willingness to learn new systems as needed;
At least 3 years of prior relevant experience in an office setting;
Excellent written/verbal communication and organization skills, and ability to prioritize and complete multiple tasks;
Ability to work independently in a fast-paced, open office;
Ability to troubleshoot and resolve problems independently and creatively;
Excellent interpersonal skills and an ability to build relationships with a wide range of constituencies (students, faculty, staff, administrators, parents/guardians, alumni, donors, Trustees, and the broader community);
Ability to work evenings as needed;
Discretion, diplomacy, the ability to maintain confidentiality and a good sense of humor.
Some experience or familiarity with independent schools and/or educational administration.
