Bookkeeper/Payroll and Benefits reports to the Business Manager/CFO. Responsible for administering and maintaining financial bookkeeping systems for payroll, cash receipts, bank reconciliation, preparing and entering journal entries, employee benefits and general bookkeeping duties. Work closely with other Business Office staff members to coordinate and organize workflow. Support and assist with questions and requests from parents, students and faculty/staff and administrators.
Processing of monthly and biweekly payroll. Preparing and posting of P/R journal entries to the G/L. Manage and maintain all employee payroll files ensuring all information is updated and accurate per employee employment contracts. Obtain employment documentation (W-4, I-9 and other documents required). Responsible for the calculating, setup and control of various payroll deductions and quarterly and yearly payroll balancing of various payroll reports and spreadsheets. Maintain Employee Time Off Calendar. Complete and file FMLA and unemployment compensation paperwork, employee employment verification forms and requests and file State and Federal required employment and benefit reports (EEO1, CMS, Department of Labor Statistics).
Administration and maintenance of all employee benefits including: health insurance, dental insurance, flexible spending plan, health savings accounts, life & disability insurance, pension plan (403B, 457B) including open enrollment. Generate health and/or pension notice requirements and disclosures to employees and update and maintain benefit spreadsheets and employee payroll files. Supply information to third party for processing of 1095 forms per ACA regulations. Obtain worker compensation reports and file claims and file OHSA annual reports.
Monthly bank reconciliation and main point of contact for operating bank accounts. Monitor cash flow and cash management. Initiate and/or approve wire transfers as needed and manage online banking ACH vendors.
Balancing, replenishing and disbursement of office petty cash
Prepare bank deposits and post to General Ledger. Post journal entries for restricted cash receipts from the Development Office.
Support annual financial, pension, and workers compensation audits.
Cross-trained in all Business Office functions and procedures in order to cover for co-workers in their absence
Front desk coverage as needed and other duties as required
Support Accounts Payables as needed including A/P, invoice coding, check processing.
Bachelor’s degree preferred
5 to 7 years of relevant experience in an educational, non-profit or corporate campus environment
Computer literacy; proficiency in Word, Excel and data entry (Financial Edge, FileMaker and ADP payroll experience a plus)
Good planning and organizational skills
Able to work independently and as a team player
Attention to detail and a high level of accuracy and confidentiality
Ability to maintain professional appearance and manner
Ability to work in a busy office
Knowledge of general bookkeeping, accounting
Knowledge of Human Resources functions including payroll processing and benefits administration
High level of professionalism and integrity and a strong work ethic

Excellent interpersonal and customer service skills; ability to collaborate widely with various constituencies throughout the school community including students, faculty, staff, and parents
