Significant responsibilities in the areas of data and gift entry to ensure that all cash gifts, stock transfers, and pledges are accurately recorded in the Raiser’s Edge, Microsoft Excel, and/or FileMaker PRO databases and reconciled with the Business Office.
This position is responsible for ensuring the accuracy and integrity of the Development Department databases, including input and output of all information. This position will provide support to Development Department staff by assisting with the creation of reports, generating acknowledgements, and developing guidelines for data entry. This position is responsible for ensuring that the databases effectively captures constituent information and generates accurate financial and analytical reports.
Oversees the administration of the development databases to maintain accurate and thorough records of all PBDA constituencies (alumni, parents, past parents, grandparents, foundations, corporations, and friends of PBDA).
Responsible for establishing best practices related to capturing biographical information and creating reports.
Ensures that the processing, tracking, reporting and acknowledgement of gifts are performed in accurate and timely fashion.
Prepares monthly reconciliation of gift income with the Business Office. Provides Business Office with gift information for audited financial statement.
Contributes to the continuing development of Raiser’s Edge, identifying opportunities for system improvements.
Creates, reconciles and generates periodic reports for specific constituent records, events, appeals and other areas as required. Creates custom reports as requested.
Generates mailing lists, coordinates printing process and/or prepares labels, envelopes and letters for Development Department mailings, as well as The Bridge. Maintains historical log of mail list criteria.
Oversees departmental purchases, check requests and invoices to include letterhead, print materials, donor/volunteer gifts, etc.
Assists with data research to locate alumni addresses and contact information. Contributes new ideas and/or initiatives related to gift strategies and events.
Performs donor research as requested by members of the development team.
Maintains matching gifts program.
Reports to and assists the Director of Development with activities related to special events.
Adheres to and works toward attaining the mission, goals and values of Palm Beach Day Academy.
Associates Degree or the equivalent combination of education and experience.
Minimum of three years of experience using donor software, preferably Raiser’s Edge.
Computer proficiency in Microsoft Word, Excel, and thorough knowledge of donor software, preferably Raiser’s Edge.
Demonstrated understanding of fiscal responsibility and quality management.
Strong organizational, multi-tasking, communication and interpersonal skills.
Ability to handle confidential information, work with and relate well to staff and community.
