The Executive Assistant role is a full-time position reporting directly to the Head of School. The individual in this role embraces and promotes the mission of The Potomac School, its core values, and its culture. This position supports the Head of School in achieving the strategic goals of the school; coordinates matters of the Head’s Office with all divisions, departments, and constituencies; and facilitates organizational operations. This individual also acts as liaison to the Board of Trustees, attending and coordinating all aspects of board and committee meetings.
Provides administrative support to the Head of School and other members of the Head’s Office and executes special projects as directed.
Serves as liaison to the Board of Trustees, providing direct coordination of all facets of support and ensuring effective information flow for Board and committee processes.
Coordinates the Head of School’s involvement with the Board of Trustees, organizations, and individuals, managing priorities and allocating time, as appropriate, in the Head’s schedule.
Maintains a broad knowledge of school programs, initiatives, and policies and their alignment with the school’s strategic goals.
Prepares communications for the Board of Trustees, serves as Recording Secretary, and attends all Board of Trustee meetings and schoolwide events as required.
Collaborates with school administrators on operational and procedural matters.
Exercises good judgment and independence in decision making when acting on the Head’s behalf.
Demonstrates discretion and maintains confidentiality when dealing with school matters.
Protects the time and priorities of the Head of School and Board of Trustees.
Keeps informed of critical issues affecting the school and anticipates problems, advising the Head of School and others accordingly.
Shows initiative and demonstrates resourcefulness in finding solutions and resolving conflicts.
Serves on school committees as assigned, including but not limited to: Event Management and Extended Administrative Team.
Supervises the school’s master calendar and oversees coordination of schoolwide events; develops ongoing strategies and provides leadership in establishing guidelines, systems and procedures for event management.
Facilitates communications from the Head’s office; coordinates with the Communications Office as necessary.
Reviews and edits school communications, reports, web pages, etc.
Maintains Administration files, with attention to file retention and archiving outdated files.
Attends occasional night and weekend events, as required.
Performs other duties and special projects as assigned.
Bachelor’s degree with a minimum of 10 years’ experience in an executive support and/or leadership role.
Excellent leadership, interpersonal, and human relations skills.
Strong critical thinking and creative problem-solving skills.
Exceptional verbal and written communication skills, including report preparation and editing.
Ability to work collaboratively and effectively with a variety of constituencies.
Management skills, including agility, prioritization, and the ability to work on multiple projects simultaneously.
Ability to exercise good judgment, discretion, and confidentiality.
Ability to function effectively during high stress and emergency
Proficiency with technology.
