Riverside Presbyterian Day School, a co-educational Pre-Kindergarten through Sixth Grade elementary school, located in Jacksonville, FL seeks an Executive Assistant to the Head of School for the current 2019-2020 school year. The executive assistant provides support to the Head of School and performs administrative and operational tasks to maintain an effective and well-organized office. Possessing excellent verbal, written, and organizational skills and an ability to independently anticipate the needs of the office, the executive assistant also takes initiative to support the work of the administrative team and the Board of Trustees.
Provide administrative support to the Head of School.
Maintain the Head of School’s calendar and schedule appointments.
Coordinate the school-wide calendar.
Organize, produce, and send official school correspondences.
Field communications and direct requests to appropriate administrators and staff members.
Collect and evaluate financial documentation for Head of School and general school credit card purchases.
Maintain confidentiality and discretion with all school related matters.
Arrange professional development travel, accommodations, and reimbursements for all school employees.
Support grade-level correspondence needs for parent letters, off campus trips and other high-level communications.
Maintain all NAIS as well as FCIS documentation, accreditation data and requests for information, including annual surveys.
Maintain all Board of Trustees documentation, legal documentation, electronic board portals, board policies, and email correspondence, while serving as the Chairman of the Board’s secretarial needs.
Schedule all board functions and committee meetings.
Serve as recording secretary for the RPDS Board of Trustees, attending all scheduled meetings and producing meeting minutes for the Board Secretary.
Attend the weekly church staff calendar meeting to coordinate cross-calendar events.
Schedule and coordinate with Riverside Presbyterian Church (RPC) all shared space usage.
Schedule and coordinate any catering needs for all school events and special gatherings, including daytime and evening events, on and off-campus.
Serve as the “master in-service” coordinator for RPDS and work with FCIS to ensure all teacher professional records for the Department of Education are handled accurately.
Bachelor’s degree with a minimum of three years of office experience in an executive support role.
