Full-time (12 months) position beginning July 1, 2020. Applicants should have significant administrative experience, preferably in an education environment and a commitment to customer support.
The Administrative Assistant reports directly to the Head of Middle School and works with the Middle School Administration and faculty.
The primary objective of this position is to manage the administrative office in the Middle School and to provide administrative support for the Head of Middle School and Middle School Administration.
Essential Duties and Responsibilities:
Manage incoming correspondence via phone, email, and mail by correctly prioritizing, filing, and/or distributing and responding.
Track daily student attendance numbers.
Manage database/Google sheets pertaining to after school commitments of all students; coordinate communication for daily shuttle needs of students.
Update the Head of Middle School calendar capturing all school events and independently schedule appointments.
Produce student and faculty schedules, transcripts and report cards with the use of learning management system (BlackBaud), including annual system rollover and set-up, prepare online documents for course registration and required annual on-line forms.
Prepare correspondence and proof for the middle school community.
Create and maintain files both electronic and paper.
Coordinate electronic publications with the Director of Communications to ensure timely information to the middle school community.
Proactively anticipate and arrange logistical support for middle school events to include building maintenance, transportation, admission events and school ceremonies..
Manage special projects as assigned such as expense reports, purchase orders and other quarterly reports. Oversee purchasing of supplies for office and faculty members, as needed.
Partner with other support staff personnel to ensure whole school alignment and cohesion.
Help coordinate hiring schedules for middle school positions.

College degree preferred.
Must have excellent attention to detail and accuracy.
Must be adept at handling multiple priorities and meeting deadlines with joy.
Must be a confident decision-maker and able to use independent judgment with limited supervision.
Must have excellent organizational skills and strong computer skills including: Microsoft Word, Excel, Google Suite and Blackbaud.
Must have excellent written and verbal communication skills.
Must have high a high degree of emotional intelligence.
Background in health service, paramedic, or other first responder fields are encouraged to apply
Willingness to drive a 14 passenger bus occasionally.
