Poly Prep seeks to hire a full-time (40 hours/week) Manager of Summer Business Operations who will support the development and delivery of all Poly Summer programs. The ideal candidate has experience in business operations and customer service as well as a demonstrated comfort and interest in working with children and young adults.

As the Manager of Summer Business Operations, you play a pivotal role in generating essential revenue for the school’s operating budget. Through accounting, database management, and customer service, you manage critical back-end operations that support the delivery of safe, organized, and successful auxiliary programs. This full-time, benefited, year-round position culminates annually in Poly Summer, a robust collection of camps and classes that serves more than 1,500 families and employs more than 300 seasonal staff.
Support goal of increasing enrollment, revenue, and profit
Assist in all aspects of summer camp planning
Create, manage, and monitor budgets and accurate accounting schedules for all programs
Perform daily accounting tasks (A/P, A/R, billing, collections, deposits, and other duties)
Assist payroll administrator by preparing payroll for each summer and external learning program
Configure camp registration software (CampBrain) and manage database
Facilitate onboarding process for part-time employees
Develop common procedures and practices to streamline operations and improve systems
Help ensure that each program meets required licensing standards
Work collaboratively with other campus departments (operations, security, bus, food service, etc.)
Provide high quality customer service to Poly Summer families via phone and email
Support marketing efforts including participation in open houses and camp events
Manage collection and organization of required camper/staff forms
Assist with adhoc projects as requested
You have prior experience with accounting and customer service with a proven record of success.
You are a detail-oriented, critical thinker with excellent communication skills, both oral and written; you are kid-friendly, energetic, positive, and flexible; you exhibit integrity and discretion; and, you work collaboratively with colleagues.
Bachelor’s degree in accounting, finance, or business preferred
3-5 years of work experience in an accounting and customer service role
A willingness to work flexible hours, weekends, and evenings when necessary, and longer hours during the summer camp season
Proficiency with G Suite, Microsoft Office, and database systems (CampBrain preferred)
Familiarity with other online accounting tools or online expense reporting is a plus
Ability to work independently and also as part of a team
Excellent follow-up and organizational skills
Demonstrated comfort and interest in working with children and families
Strong relational skills including conflict resolution
Knowledge/understanding of camp industry a plus
Physical Requirements and Work Environment:
This person works at a computer for most of the day
Walking, as needed, to locations across 25-acre campus
Physical activity includes needing to move packages up to 20 lbs., standing for long periods of time at open houses and other seasonal events, and participating actively in staff trainings
Be able to work in various positions, including, but not limited to, stooping, bending over, and sitting for extended periods of time
