The Volunteer Relations and Special Events Officer is a stellar opportunity for someone wanting to learn the dynamics of an Advancement Office including fundraising, volunteering, communications, and special events. While this position will be the point person for volunteers and special events, it offers the opportunity to lean more about other fundraising initiatives such as Annual Fund, major gifts, and capital campaign. The Advancement Office of the Fay School is a small shop with a strong team mentality. Seeking an enthusiastic, engaging, and hardworking teammate to amplify the mission of Fay!
The Volunteer Relations and Special Events Officer works within the Office of Advancement and reports directly to the Director of Advancement. The primary goal of the Volunteer Relations and Special Events Officer is to cultivate and steward constituent relationships, primarily in the areas of volunteer management, fundraising, and special events. In addition, this person will work with other staff to manage and support various activities, projects, and areas of the school that fall under the umbrella of the Office of Advancement.
Responsibilities include the following:
Primary responsibilities lie in the areas of volunteers, special event management, and the overall support of advancement functions at Fay.
Provides primary support and leadership for the annual Fay School Gala & Auction in conjunction with the Director of Advancement including strategic planning and budgeting, volunteer recruitment and coordination, vendor relations, income/expense tracking, event setup/execution/takedown, follow up contacts, gift/payment receipt and acknowledgment, database management, and all final reporting.
Works with the Director of Advancement to process all gifts received and ensures accurate record creation, management, and acknowledgement. Responsible for the accuracy, upkeep, and effective utilization of the advancement databases and files.
Works to establish and cultivate relationships with all Fay families. Promote parent involvement by communicating various volunteer opportunity across campus.
Directly manages all Parents’ Club Committees under the leadership of the Director of Advancement and Parents’ Club Co-Chairs.
Parent Club Committees include but not limited to:
Grandparent and Special Friends Day
Ensure consistent and thorough Parent Club Committee transitions by maintaining up to date volunteer position descriptions.
Provides primary support and leadership for Fay events included but not limited to the following:
New Parent Dinner
Volunteer Appreciation Week
Parent Club Happy Hours and Thank You Events
Annual Fund Events
Honor Circle Celebration
New Family Cocktail Party
Faculty Appreciation Luncheons (Fall/Spring)
Faculty Holiday Party
Faculty End of Year Party
Supports the Social Media Team and the Communications Officer to promote Fay’s parent involvement and special events.
Help with integrated online presence on social media platforms.
Maintain social media surveillance and response in real time when possible.
Expected to use personal cell phone device to execute necessary social media applications.
Capture day-to-day activities and events around campus through photography and videography.
Point person for the photo sharing platform, Vidigami. Works with the volunteers to ensure proper set-up and troubleshoot any questions for parent volunteers.
Teams with the Director of Advancement to support any and all advancement functions on an as needed basis.
Serves as a member of the Advancement Team.
Serves on the monthly morning carpool rotation.
Performs other duties as assigned by the Head of School.

Bachelor’s degree required.
2 years of experience in volunteer and event management preferred.
Ability to write and speak effectively.
