St. Anne’s-Belfield School is looking for a full-time Coordinator of Athletic Operations to join the Athletics Department and team. The ideal candidate will be energetic and self-motivated with an ability to adapt quickly to changes in duties, projects and priorities, connecting positively to a diverse range of staff, coaches, students and parents. This person will be a high-level performer who remains attentive to details and adheres strictly to deadlines and deliverables while maintaining a high degree of professionalism.
General Summary: The Coordinator of Athletic Operations is responsible for managing the logistics associated with successful Athletic Department operations including but not limited to transportation, event management, Virginia Independent Schools Athletic Association (VISAA) and conference obligations, uniform and equipment management and athletic website data management. Under limited supervision, the Coordinator of Athletic Operations reports to the Director of Athletics.
Uniform and Equipment Management
Manages inventory, distribution and collection of all athletic uniforms and equipment to over 50 teams;
Works in coordination with the business office and athletic secretary to bill for unreturned items;
Maintains calendar for uniform replacements and makes timely recommendations to Athletic Director for equipment and/or uniform purchases;
Manages communication of expectations with coaches effectively so that the School is able to retain 90% of all uniforms and equipment each year;
Answers and appropriately routes incoming calls to the Athletic Department;
Generates and distributes pre-season confirmation documents for frequent opposing schools;
Solidifies officials and serves as point person for assignors and invoicing;
Manages athletic department social media account;
Manages game day personnel and compensation (scoreboard workers, announcers, crowd control, auxiliary workers);
Ensures all game day personnel are trained and in place prior to game beginning;
Handles VISAA and conference (LIS & VPL) paperwork and registration annually;
Athletic Website Duties
Oversees schedule data input into the school website and manage changes throughout the season;
Manages team rosters and input into appropriate system;
Works in coordination with Communications Department to accurately manage athletic website;
Posts news and announcements, scores and other pertinent info regarding athletics;
Manages transportation schedule for athletics (away matches, intercampus shuttles, practice needs) in conjunction with entire school transportation needs;
Schedules charter busses as needed for longer trips;
Provides fleet manager and drivers with trip schedules bi-weekly;
Performs related duties as assigned.
Education, Experience and Skills:
Education: Any combination of education and experience equivalent to a Bachelor’s degree from an accredited college or university in sports administration, business administration or sports management. Master’s degree preferred.
Experience: Minimum of two (2) years of experience as a coach and/or mentor of an athletic department. Independent school experience highly preferred.
Special Requirements: Must pass a criminal background check.
Knowledge, Skills and Abilities:
Ability to handle multiple tasks and complete work in a timely and accurate manner; ability to manage working relationships with a wide group of people to ensure tasks are accomplished; proficiency in MS office; ability to work independently; ability to maintain professionalism in communications with others; ability to work collaboratively and function as part of a team; extensive knowledge of athletic operations; extensive knowledge of website management.
Position may require weekend or evening work for special events. Physical requirements of this position are medium work: Ability to lift up to 50 lbs. occasionally and/or up to 30 lbs. frequently and/or up to 10 lbs. constantly to move objects.
