| Hillel Day School of Metropolitan Detroit is looking for an Administrative Assistant to play an important role in the Advancement Office. They perform a variety of clerical and organizational tasks that are necessary to run the department efficiently. The Administrative Assistant must be extremely detail oriented, organized and provide outstanding customer service. Job Summary • Process all gifts and pledges using Blackbaud’s Raiser’s Edge software, including creating appropriate acknowledgment letters for signature and mailing • Perform all data entry and data maintenance for Blackbaud’s Enrollment Management, Raiser’s Edge, and other databases • Record and manage fundraising activities • Prepare annual tax statements and tax receipts as needed • Assist the Director of Annual Giving with mailings, merging files, printing and organizing materials, preparing mailing list spreadsheets • Track and generate pledge payment reminders for annual and other campaigns, and prepare monthly invoices • Process and maintain credit card charges and issue timely reports to Business Office • Produce various reports from Blackbaud’s Enrollment Management, Raiser’s Edge, and other databases • Assist with registration for the Annual Gala, Israel Independence Day Carnival, and any other large events that require registration. These events take place in the evening and/or on weekends. • Process all tributes from beginning to end • Track and record all tribute donations and prepare list for various publications • Prepare and mail annual endowment fund reports • Maintain inventory of admission materials, publications, and letterhead, as well as prepare admission information packets • Manage admission files for all applicants • Coordinate decision letter mailings with the Director of Advancement • Attend to and process transcript releases to other schools in a timely manner, including confidential teacher recommendations • Attend to incoming phone calls, emails, and visitors in regards to all aspects of Advancement • Order supplies, optimize office space, and maintain an organized filing and archiving system for confidential admission records, publications • Purchasing supplies for events, as needed • Act as a team player • Complete other duties as requested to support the goals of the school, such as covering the front desk, helping with lunch duty, health questionnaires, student drop-off and dismissal, and all other school activities, as needed |
