Germantown Academy, located in Fort Washington, Pennsylvania, is seeking qualified, experienced candidates for the position of Administrative Assistant, beginning as soon as possible. This is a 10-month part-time position which offers a highly competitive salary. The Academy, founded in 1759, is a non-sectarian, coeducational, college preparatory school of more than 1,100 students in Grades PK-12, located in the northwest suburbs of Philadelphia on a campus of 126 acres. Position Purpose: The Lower School Administrative Assistant reports to the Head of Lower School and to the Assistant to the Head of Lower School. He/she supports general administrative tasks of the lower school; assists administrators, faculty, students and parents; welcomes visitors; and attends to the daily operations of the Lower School. This individual is responsive to concerns and needs as they arise, presenting a professional and gracious demeanor that reinforces the culture of Germantown Academy as a welcoming and friendly school. Key Responsibilities: - Be welcoming, kind, and helpful to the community
- Contact parents as needed to confirm attendance and dismissal plans
- Coordinate with after school program to confirm students’ attendance and dismissal plans
- Input and update student record information in collaboration with school database manager
- Properly track purchases and purchase orders
- Manage and maintain student files
- Prepare and process emails and multiple bulk mailings
- Respond to parent phone calls and emails as needed
- Support the head and assistant division head’s calendar as needed
- Support divisional tasks, memos, and communications as needed by the office team
- Proofread administrative communications, newsletters, and presentations as needed
- Liaise with technology department as needed to support online and data management systems in lower school
- Create, update, and manage the online lower school, master, family and web calendars, communicating updates to the communications department and to faculty as needed
- Create, update, and manage online platforms with the updated policies, procedures, duties, and other logistics
- Prepare and manage online sign-up system for meetings, field trips, conferences and other events
- Order catering, set up and breakdown of faculty events/meetings
- Reserve facilities for meetings and special events using online scheduling system as needed
- Sign-in visitors using the Raptor visitor management system when needed
Qualifications: - Undergraduate college degree
- Extremely organized and detail oriented
- Completes tasks with high level of accuracy
- Can focus on and manage multiple tasks efficiently and productively
- Demonstrates confidentiality and discretion with workplace information
- Expertise with technology and with data-base entry in particular
- Expertise with Microsoft Word, Google Apps, Excel, PowerPoint and Outlook
