The Park School is a Pre-K to Grade 8 independent school in Brookline, MA dedicated to excellence in education. Summer at Park brings the values and mission of the School alive during the summer months to a broad group of students ages 4 to 15. With our variety of programming in 1- and 2-week sessions and extended day, the possibilities are endless. Campers make lasting friendships in small groups led by our experienced and dedicated staff who love to have fun. The Summer at Park & Rentals Coordinator is a member of the school’s administrative staff and reports to the Director of Summer at Park. This full-time, 12-month position is responsible for collaborating with the Director of Summer at Park to develop and execute exciting programming for Summer at Park, managing the rental of school facilities during the academic year, and overseeing the School’s transportation program during the academic year. The ideal candidate will bring a history of collaborative, self-directed work as well as an entrepreneurial spirit. Roles & Responsibilities: The Summer at Park and Rentals Coordinator is an integral partner in the leadership of Summer at Park. During the busy summer months, the Summer at Park and Rentals Coordinator is engaged in leading all aspects of camp operations in collaboration with the Director of Summer at Park. During the academic year, the Coordinator is actively involved in the designing and planning of the next summer and has additional responsibilities related to the school’s academic program. The Coordinator is responsible for managing the School’s outsourced transportation program and the rental of school facilities in the evenings and on weekends. - Collaborate with Director of Summer at Park to develop and evolve excellent programming
- Promote respect, honesty, responsibility, caring, joy, and excellence among all children and staff
- Collaborate with the Director of Summer at Park and the Asst. Head of School for Finance and Operations to develop the annual budget for Summer at Park and Swim Club at Park
- Create and manage the customer relationship management (CRM) system (CampBrain), including season design, camper and family registration, and billing
- Collaborate with the Director and the School’s communications team on all aspects of the camp marketing and advertising plan, including the annual camp brochure (in collaboration with the brochure designer), the camp website, and open houses
- Collaborate with the Director to hire, onboard, supervise, and evaluate all camp staff
- Collaborate with Director and Director of Human Resources to:
- Determine staff compensation
- Ensure delivery of payment
- Maintain staff information in CRM database and ADP database
- Collect, review, and process staff hiring paperwork, including CORI and SORI
- Manage human resources for Summer at Park:
- Manage employment records for Summer at Park staff
- Maintain the staff manual and camp procedures
- Plan and execute two full staff orientations (camp and swim)
- Collaborate with Director and members of the Business Office to:
- Reconcile credit card statements
- Reconcile monthly bank statements
- Reconcile year-end finances
- Assess need and allocate financial aid to camp families
- Oversee logistical planning for Summer at Park including:
- Coordinating transportation
- Determining groups of campers
- Planning field trips
- Scheduling school visitors
- Ordering of supplies, staff shirts, and foodservice needs
- Manage and oversee the American Camp Association accreditation process and required paperwork
- Liaise with camp nurse(s) to ensure all medical paperwork is received and current
Transportation Program Responsibilities: - Regularly evaluate the routes based on the geography of where Park families live
- Coordinate transportation routes with Park’s transportation provider (Local Motion)
- Maintain the School’s web page regarding transportation
- Communicate with academic faculty and administration for class list development
- Be responsive to parent questions and concerns
Rental Program Responsibilities: - Communicate with partners who are interested in renting Park’s facilities
- Develop and maintain contracts for all those leasing Park’s facilities
- Maintain schedule for leasing and communicate with facilities team and Asst. to the Head of School, who manages the School’s calendar
- Manage billing and collections from third parties leasing Park’s facilities
