The Awty International School has an immediate opening for an Executive Administrative Assistant to the Proviseur (French Section Principal and Deputy Head of School). This person will frequently be the face of the school and Proviseur’s proxy, as s/he will be the first interface for communications in the Proviseur’s office. The Executive Assistant must be gracious and able to handle requests and concerns from students, parents and staff members calmly and effectively while keeping the Proviseur updated. The ability to maintain confidentiality and to graciously support all in the community is a must. Must facilitate support for teachers and communication with teachers. Job Responsibilities: - Tasks associated with the position of Executive Assistant to the Proviseur (Proviseur = Principal of the French Section & Deputy Head of School)
- Thoroughness and organizational skills
- Ability to anticipate and assign priorities in one’s work
- Thorough knowledge of the French educational system (a preference)
- Able to speak and write French fluently (bilingual English and French, a preference)
- Management of incoming and outgoing correspondence (e-mail and mail)
- Management of photocopying, filing, office supplies
- Management of invoices and American Express charges through the Business Office
- Drafting of letters, minutes of meetings, student evaluations, management of the school’s main in-box
- Management of school administrative integrated software system (“Pronote”), group management, grade recording, report cards and progress reports
- Organization of class councils (Student Evaluation Committee meetings)
- Management of student files, issuance of student certificates, transcripts, updating of student records
- Organization of Baccalauréat exams (11th and 12th), Diplôme national du brevet & mock exams, invitations to sit for exams, convening, organization and travel arrangements for examiners/reviewers
- Management and preparation of financial aid requests
- Efficient management of the Proviseur's and his Deputy’s schedule, meeting room reservations, food service arrangements
- Organization of the pre-start of school, the start of school and end of school activities (teacher files, class lists, skill achievement records, examination records, road safety education certificates, correspondence, etc.
- Management of professional training courses and of teacher travel arrangements
- Answering telephone calls and welcoming visitors, parents, teachers and students and meeting their needs
- Advanced computer and Microsoft Office skills
- Updating personal information of employees working in the French Program
