Pingree School seeks to hire a director of studies beginning in the 2021-2022 school year. The director of studies is a member of the office of academic affairs and is responsible for the day to day academic program including scheduling, the management of our annual academic procedures, and the oversight of student academic progress. The director of studies (DOS) supports the work of the associate head of school (AH) in regards to academic affairs including short term implementation and long term planning. The DOS is charged with monitoring academic processes and operations and assessing them through the lens of equity, inclusion and access. The DOS is a 12 month position reporting to the associate head of school. Note: The DOS will assume the scheduler responsibilities beginning in 2022. Depending on timing of the hire, this will likely be a 10 month position in year one and transition to a 12 month position moving forward. Primary responsibilities include the following: - Member of the Curriculum Committee (CC), Department Chairs Committee, Trips Committee, and Student Equity and Inclusion Committee. Participate in other committees as needed. Participate in the setting of agendas for CC and responsible for minutes and communicating necessary information to and from CC and Department Chair meetings as needed.
- Oversee annual scheduling procedures in conjunction with the registrar* and department chairs:
- Course Registration: organize materials, educate advisors, coordinate and oversee the process for new and returning student registration.
- Placement: organize and oversee department evaluation of new student placement and the annual course placement recommendations for returning students. Coordinate with the admission office on placement outreach and new student placement and family orientation events.
- Scheduling: (work with registrar in first year to) develop master schedule, resolve scheduling conflicts, approve schedule changes, drop/adds, withdrawals. Build the master grid of classes, blocks and classroom assignments. Grade/comment reporting: manage timeline and process for grade/comment entry, communicate necessary deadlines and procedures to the faculty. Work with AH on changes, innovations and evolution of our grading and assessment processes.
- Exams/End of Term Assessments: set the annual assessment schedule, manage exam planning and prep. Support the evolution of end of term and project based assessments.
- Trips: sit on the Trips Committee and support the dean of students in oversight of trip procedures and approving trips that may impact the daily program.
- Academic Calendar: work with the AH to set the academic master calendar, the beginnings and ends of terms, and grade reporting periods and deadlines.
- Attend to academic student management and support:
- Monitor grades and student progress at regular checkpoints; manage list of students of concern; communicate with Dean’s Office and Educational Resources Office as needed.
- Facilitate student review meetings with the support of grade deans, AH and director of the educational resource center.
- Manage communication to families for students in academic difficulty including academic warning and probation letters.
- Monitor students with long term absences (concussion, illness, etc.). Coordinate regular concussion team meetings to monitor students in our concussion protocol.
- Coordinate with AH, director of athletics and afternoon programming and director of senior projects to insure students successfully complete all graduation requirements.
*This role will shadow the registrar for the first year and eventually assume the academic portion (scheduling, report cards) of the registrar’s responsibilities.
