Position Title: Executive Assistant to the Head of Upper School FLSA Classification: Non-Exempt – Salary (12 months) Reports To: Head of Upper School Position Purpose: Provides administrative support and organization to the Head of Upper School, Upper School Faculty and Staff. Equal parts community relations, event planning, wrangler of details, program coordinator, and critical administrative partner, the Upper School Executive Assistant is at the intersection of all aspects of the Upper School experience and is a crucial facilitator, collaborator, and contributor for the success of St. Andrew’s Episcopal School and of a high functioning team of administrators. Relational and operational, the Executive Assistant sets the tone for all visitors to campus and will manage and coordinate the daily functioning of the Upper School. The Assistant should be highly organized, collaborative, trustworthy in handling private and confidential matters, proactive in anticipating and planning, solutions-oriented, and committed to continuous improvement. The Assistant should value relationships, demonstrate emotional intelligence, and set a tone of genuine affection for people, especially teenagers but also adult colleagues, alumni, parents, and visitors to the School. Reporting to and working closely with the Head of Upper School, the Executive Assistant manages all workflow related to the Head of Upper School and occasionally supports other key administrators including the Assistant Head of Upper School, the Deans, the Director of Curriculum and Instruction, the Director of Admissions, and the College Counseling Team. The assistant will coordinate and partner with the registrar, nurse, parent volunteers, and other faculty and staff as needed. This position reports to campus daily where strict COVID-19 protocols are in place. Availability to work occasional evenings and weekends will also be necessary to support events. Start date is flexible, with a preference for late May or early June. Essential Contributions and Responsibilities: - Provide executive support to the Head of Upper School
- Represent St. Andrew’s Episcopal School in interactions with students, faculty, staff, families, and visitors as a greeter and welcoming individual to the campus
- Maintain and secure confidential records and inquiries
- Complete projects as approved by the Head of Upper School
- Lead or partner in planning and coordinating special events
- Provide essential support to administrative functions (attendance, scheduling, etc.)
- Coordinate and produce weekly Upper School communications
- Coordinate and schedule substitute teachers
- Assist the Head of Upper School in additional duties as assigned
