Description Reporting to the Director, Finance and Business Services, the Accountant – Procurement to Payables (P2P) serves as the lead for procurement and payables accounting for the school. This position provides expertise in the area of purchasing services to support functional and academic departments at the School in understanding and processing financial transactions while promoting an environment with sound internal controls and fiscal accountability and responsibility. This position is responsible for the processing of payments of all major obligations including payroll, contracts, purchase orders, and capital construction. The Accountant – P2P also manages the P-Card program and employee expense reimbursement process. Specifically, areas of responsibilities will include: - Providing expertise and overseeing purchasing, including promoting best practices for procurement, reviewing contracts, implementing an appropriate program for P-Cards, developing and implementing expense reimbursement processes, and managing petty cash;
- Writing financial policies and procedures and implementing strong internal controls for financial activities related to purchasing;
- Partnering with faculty and staff across the school to help promote understanding and compliance of purchasing policies and procedures;
- Maintaining a contract repository to leverage purchasing economies;
- Implementing competitive bidding processes while promoting supplier diversity initiatives;
- Processing and reviewing invoices to ensure proper general ledger coding for consistency and budget management and prevention of duplicate payments;
- Processing vendor setup, including review for 1099 vendors and associated reporting;
- Coordinating with the Parents Association to maintain their accounting;
- Setting up and coordinating execution of payroll, including recommending payroll process improvements;
- Monitoring capital activity to include construction in process, fixed asset procurement, and depreciation;
- Coordinating with the PECF on payables including payroll, invoice management and payment, and the central P-Card program;
- Assisting in the review of liquidity analysis for cash based on the understanding of outflow of resources; and
- Performing timely reconciliations of financial transactions, including payroll, payables, and capital assets.
