Overview of Position This position is for an Events Coordinator, beginning immediately. This is an 80% exempt position that reports to the Director of Development, and will work in close collaboration with the Development Office and the Parent Association (PSPA) Responsibilities The Events Coordinator is responsible for developing the strategy, organizing, managing, and producing all fundraising and cultivation events in conjunction with the school and PSPA.. This consists of partnering with parent volunteers, managing relationships with vendors, reviewing vendor contracts, reconciling event fundraising revenue with the business office, producing any necessary tax receipts, and acknowledgments. Partners with key staff, volunteers, and PSPA to support the planning of:
- Book Fair
- Field Day
- Grade level transition events
- State of the School
- Board of Trustee Events as needed
Plans and manages community-building and cultivation events including but not limited to: - Annual Giving Launch & Celebration of Giving Donor Party
- School fundraising events including Count Me In Parties and Spring Fundraiser
- Panther Picnic & Community Events
- Grandparents/Special Friends Day
- New Family Welcome and Orientation Events (Admissions events)
- Alumni Events (2-4/yr) (past events have incl.8th grade graduation breakfast, young alum & class year specific reunions)
- Plans and manages special recognition events for long-tenured faculty/staff upon their retirement (20 year+), Faculty Milestones, School Anniversary celebrations, etc.
Volunteer Relations - Serves as Development Office liaison to the PSPA (executive committee, events, fundraising, volunteers)
- Works with the Director of Development to identify and develop key volunteer leaders, and to promote positive relationships with school volunteers
- Manages volunteer solicitation of local vendors
General Development Responsibilities - Serve on Development Committee of the Board of Trustees
- Participates in such other Development Office activities such as goal setting, calendar planning, volunteer identification and development, donor relations, cultivation and stewardship activities, proof-reading, database updates, etc.
- Educates self regarding the philosophy and programs of the school; stays informed regarding regulations and legislation regarding fundraising and reporting standards
- Oversees and manages the requests by students to fundraise on campus
- Coordinates with Admissions for any admission/stewardship related events
- Coordinates with the Technology Department to manage volunteer training, use and maintenance of fundraising software (e.g. walkathon, payment forms, etc)
- Coordinates with the Director of Communications to manage all event messaging and volunteer marketing campaigns for fundraising events
