Latin School of Chicago is seeking a Division Assistant for our Lower School.

Duties/Responsibilities:

• Track daily attendance and communicate with parents who have not reported absence
• Manage the lower school calendar in coordination with the all-school calendar
• Meet monthly with the Calendar committee to go over the all-school calendar
• Meet regularly with the Administrative Assistant to the Head of School and other division assistants to talk about all-school events and to keep each other informed of division-specific events
• Take minutes at faculty meetings/academic chair meetings and any other meetings deemed necessary
• Maintain the daily/weekly/monthly calendar of the Lower School Director and Assistant Lower School Director
• Maintain student records
• Create documents such as lower school schedules, duty rotation, etc
• Respond to inquiries from students, parents, and employees, providing information and facilitating communication
• Manage the communication to families (set up, etc.)
• Project manager: weekly assemblies, 4th Grade Promotion, Grandparents & Friends Day
• Inventory and stock office supplies
• Organize, place, and track annual classroom orders, including consumables and non-consumables
• Submit orders received from faculty twice a week
• Submit reimbursements for faculty twice a week
• Manage payment of approved faculty courses, classes, and professional development 
• Reserve spaces and materials for meetings and gatherings
• Maintain accurate email lists
• Manage and track the lower school budget
• Manage and keep Topics pages current
• Order materials for standardized testing and create spreadsheets for ERB of students being tested.

• Ability to work autonomously and proactively seek solutions to challenges
• Must be a detail-oriented self-starter with strong planning and organizational skills
• High level of computer proficiency; working knowledge of Google apps, Office suite, Adobe Acrobat Pro, etc.
• Organized with impeccable follow-up skills and the ability to manage multiple competing priorities
• Collaborative work style with a focus on providing exceptional service to the school 
• Strong project management skills

Qualifications:

• Bachelor’s degree
• Minimum of 5 years of related experience
