Position Title: Office Coordinator

Reports To: Director of Finance and Operations
Position Purpose: Ensures the front desk functions properly and acts as Substitute Coordinator.
The Brandeis School of San Francisco seeks a high energy, self-starting office coordinator who enjoys wearing many hats and working in a challenging but fulfilling environment. Essential Functions
• Contribute positively to employee morale, and maintain a positive, pleasant demeanor to all constituencies.
• Welcome visitors after security check-in and notify employees of guest arrival.
• Coordinate substitute teachers by processing teacher coverage requests, requesting subs from either the Brandeis sub pool and/or Swing Subs (third party agency).
• Confirm lesson plans are available and communicate to the substitute the location of plans and any special instructions.
• Greet and direct substitute teachers.
• Manage student attendance tracking process by providing tardy slips, receiving incoming attendance from teachers, updating attendance, and confirming absences.
• Provide student first aid, complete accident reports, and maintain and distribute student medication according to protocol.
• Assist students who don't have lunches.
• Coordinate school photographer for fall and winter photos.
• Coordinate lice checks.
• Serve as point person for faculty and staff in regards to maintenance and security issues.
• Sort and distribute incoming mail; receive and send FedEx, UPS, and other packages; and notify employees to pick up packages.
• Assist with document preparation and other office duties as directed.
• Coordinate schedules as required for the director of lower school and the director of middle school.
• Collect and report to the state of California all required immunization records for kindergarten, seventh grade, and new students
• Manage the process of notifying rising seventh grade families of immunization requirements and collect updated records yearly.
• Coordinate food and refreshments for faculty professional development and conferences.
• Coordinate challah and lulav orders in August and September of each year.
• Coordinate, monitor, and collect family forms and parent driver forms in April, May, and August of each year.
Qualifications
• Degree/certificate in business, communications, or facilities a plus.
• A minimum of five years of experience as an office manager, office coordinator, or receptionist.
• Experience with Gmail, Google Docs, and Google Sheets a plus.
• Excellent written and verbal communication skills.
• Exceptional problem-solving abilities and technology tools driven.
• Must thrive in fast-paced and challenging environments.
• Possess the ability to adapt to changing priorities and manage multiple projects under pressure.
• Patience and a sense of humor are absolute musts for this role.
Physical Requirements and Work Environment
• Regularly sit, talk, hear, and to visually intercept visitors.
• Ability to occasionally lift up to 30 lbs.
• Regularly use close and distance vision.
• Work at a desk and computer screen for extended periods of time.
• Turn, bend, reach and occasionally use a ladder.
• Work in a traditional climate-controlled office environment.
