The Wheeler School, a co-ed. N-12 independent day school of approximately 800 students in the College Hill neighborhood of Providence, RI, is seeking an Administrative Assistant for the Head of School’s Office. Founded by visionary educator and artist Mary C. Wheeler in 1889, Wheeler is a school committed to challenging academics, a rich performing and visual arts curriculum, and innovation. The Administrative Assistant provides overall administrative support for the Head of School’s office. The position reports to the Chief of Staff on a wide variety of administrative duties, special projects, and initiatives, and is responsible for representing the Head of School’s office at all times.
Essential Duties and Responsibilities, include but are not limited to:
- Timely scheduling and overall management of the Head of School’s schedule and calendar, as well as school-wide calendars
- General coordination of details and operations for the Head of School’s Office
- Assistance with the maintenance of our school’s Safety App
- General event planning support for the Head of School, Board of Trustees, Advancement and Enrollment offices
- Processing accounts payable, ordering and purchasing for the Head of School’s office
- Booking travel, conference/workshop registrations, hotels for all professional development requests, reimbursements for faculty/staff and tracking spending
- Preparation of mail merges, letters and other communications on behalf of the Head of School
- Support Chief of Staff in planning logistics for faculty/staff events, retreats, and other initiatives.
- Provide administrative support for other all-school initiatives on an as needed basis, such as Opening Week meetings, all-school after school meetings, COVID-related administrative support, and other tasks as assigned.
- Administrative support for searches, including editing, proofing and posting job openings and taking postings down when position is filled, ordering catering, scheduling support when needed, and monitoring careers inbox.
- Work with the Chief of Staff to serve as liaison to the board as it relates to scheduling and logistics.
- Maintain the Trustee Portal, including timely posting of meeting materials, orientation materials, schedules, committee rosters, troubleshooting technical issues with Trustees and IT, etc.
- Other administrative duties as assigned
Qualifications:
- Associate’s Degree or higher required
- 3-5 years of experience working in an office setting; school experience preferred
- The ability to work nights and weekends, as needed
The ideal candidate will have these professional characteristics, skills and qualities:
- Proficiency with Google Workspace for Education, and a high level of proficiency with MS Excel, Word and PowerPoint
- Experience working with CRMs, databases and other software applications
- Excellent written and oral communication skills
- The ability to work autonomously and with the utmost discretion
- Exceptional attention to detail, follow through and the ability to multitask
- A high level of cultural competency
- Unquestioned integrity, sense of humor and flexibility
