ORGANIZATIONAL BACKGROUND
From the top of Mount St. Alban, St. Albans School looks up to the Washington National Cathedral and out to the United States Capitol. DESCRIPTION Reporting to the Lower School (LS) Head, the LS Administrative Support Specialist will support the faculty in day-to-day operations, especially assisting the LS Head, the Academic Dean, the School’s registrar, and the Dean of Students.
Specifically, areas of responsibilities will include:
- Serve as receptionist, greeting visitors and answering in-person, phone, and email inquires;
- Manage daily attendance;
- Assist with registrar functions;
- Provide administrative support to the LS Head, LS Academic Dean, and the Dean of Students;
- Manage supplies and purchasing needs;
- Liaise with the school nurse;
- Assist with Blackbaud/MySTA/Database operation:
- Manage and enter all course selection data in MySTA for Forms C–II
- Manage and enter all data for Advisory and Homerooms
- Manage roster rollover at the end of the school year including student enrollment
- Manage transcript process for current and past students
- Create and send push notifications/pages to constituents;
- Organize and keep orderly the LS office suite.
The position may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Schedule: Monday-Friday, 7:30AM - 4:30PM
SUPERVISION EXERCISED
For the purposes of management, performance assessment, and span of control, the LS Administrative Support Specialist does not directly supervise any employees.
PROFESSIONAL EXPERIENCE/QUALIFICATIONS
Experience: A minimum of 3 years of relevant experience
Education: High School diploma required; Bachelor's preferred
PREFERRED QUALIFICATIONS
- Fluency with a variety of software applications, including the use of databases and spreadsheets;
- Familiarity and facility with Microsoft Office Suite, Google Office, Adobe Acrobat (PDFs), and Zoom (scheduling and launching meetings);
- Proficiency with Blackbaud;
- Possess the desire and patience to work with boys, families, and faculty in a professional, flexible, and happy manner;
- Ability to independently plan, organize, and coordinate multiple tasks;
- Demonstrated strategic skills in short- and long-term planning and facilitation and collaboration;
- Ability to negotiate, mitigate conflict, and build alliances;
- Experience managing people and teams to achieve desired results;
- Creative, innovative, and strategic thinking ability;
- Excellent oral and written communication skills;
- Analytical, organizational, interpersonal, and cross-cultural skills;
