The St. Paul’s Schools is a family of independent schools located in Brooklandville, Maryland. With more than 1,400 students from ages 6 weeks to grade 12, St. Paul’s Pre and Lower School (coed), St. Paul’s
School for Girls, and St. Paul’s School for Boys share a 120-acre campus, an Episcopal affiliation, and a focus on developing confident, well-balanced students who will use their education and ethics to improve the world. In July 2018, the schools unified under the umbrella of The St. Paul's Schools, with a single board of trustees and one president, but each school retains its individual traditions and its gender-specific programs. A coordinated structure allows The St. Paul’s Schools to preserve the small-school feel within each school while sharing resources and certain programs to maximize opportunities for students. With St. Paul’s unique model, boys and girls are taught together and separately at just the right times in their development.
Position Description
The Director of Operations is responsible for the leadership, supervision and oversight for the planning, organizing and directing of The St. Paul’s Schools maintenance operations. The position manages all aspects of support to the physical assets (buildings, housing, roads, grounds, athletic fields, vehicles, tools, etc.) including housekeeping, preventative, predictive and operational maintenance; negotiating and management of repairs and service contractors; assistance with crisis management planning and event coordination with departments across campus. This position reports to the Chief Operating Officer and also works with the President and Heads of School in support of long-term strategic planning of campus and buildings work with the Property Committee and will work alongside advancement teams in any capital campaign plans. With growth on our campus and construction projects planned for the next 15-20 years on campus, this is an exciting time to be joining our community and leading our school is this role.
Primary responsibilities for Facilities:
- Ensure policies and practices provide a safe and efficient environment and these operations are held to the highest standards expected by The St. Paul’s Schools.
- Proactive assessment, development and implementation of a preventative maintenance plan.
- Preserve the condition of the infrastructure and ensure that facilities are safe and well-functioning.
- Ensure all campus buildings and facilities are problem-free and safe to allow the execution of the school’s mission.
- Supervise a highly dedicated team to oversee and anticipate facilities needs for a busy school environment; assign daily tasks, approve time off requests and process payroll.
- Oversee Incident IQ work order request system to team with users and prioritize requests across campus.
- Communicate maintenance and housekeeping information to the school community.
- Manage operation and monitoring of the school septic system, and domestic water supply to campus and fire systems.
- Manage contracts for outside service providers including but not limited to: fire systems, HVAC, A/V, water systems, etc.;
- Maintain fiscal and organizational management of the department, including establishing and monitoring of the facilities budget.
- Procure facilities services by developing a statement of work, soliciting and analyzing bids, negotiating terms; ensure materials required for maintenance needs are available on timely basis.
- Prompt coding of invoices and tracking of expenses related to facilities projects.
- Attend calendar meetings at all entities and serve as liaison to facilities department with regards to maintenance needs for all campus events; assist with managing events with various constituencies across campus.
- plan and coordinate with various constituencies for efficient use of space on campus, specifically during multi-events on campus.
- Assist with proactive crisis management planning and policy development.
- Manage and maintain the fleet of school vehicles.
- Coordinate planning for and response to inclement weather events and other emergency needs as they arise.
- Support special events as needed.
- Perform other duties as assigned.
Primary responsibilities for Project Management:
- Proactively identify capital projects and expenditures necessary for deferred maintenance, new projects and major repair work. Make recommendations on such.
- Manage capital projects of various sizes on campus to include building renovations and new construction, landscaping, interiors and signage.
- Manage the process of these projects ensuring that all parties (architects, engineers, designers, consultants, contractors, etc.) are working towards the common goal of a high-quality project delivered on time and budget.
- Coordinate design meetings, negotiate construction contracts, coordinate construction schedule and manage issues between architect and contractor from start to finish of a project.
- Incorporate consistent design standards for buildings, landscape, interiors and signage in all work done on campus.
- Manage multiple projects simultaneously.
Key Qualifications
- Minimum of 5 years of demonstrated operations experience in a multi-building AND a Bachelor’s degree in facilities management or a related field, with emphasis on facility management, OR, in lieu of a college degree, candidate must have a minimum of 8-10 years of demonstrated facilities management experience with 5 years of supervisory experience in his or her role.
- The ideal candidate will be an outstanding manager of people, well-organized and hands on in maintaining building infrastructure and equipment.
- Teambuilding management style;
- Experience with all facets of maintenance (electrical and boiler power, building engineering, plumbing).
- Working knowledge of safety regulations (e.g., EPA, OSHA, etc.) and safety codes.
- Working knowledge of state & county codes; ensure government and environmental regulations are followed and documented.
- Enjoys working in a school environment with students, teachers, and staff.
- Effective in written and verbal communications with technical and non-technical personnel including proficient use of Microsoft Office and Outlook email.
- When Chief of Staff not available, may need to take after-hours, on-call duties/manage emergency situations.
- Trade certifications in HVAC, Electrical and plumbing preferred, but not required.
Physical Requirements
While performing the duties of this job, the individual must be able to walk regularly. The individual may frequently be required to bend or stoop. The individual may occasionally be required to lift objects up to 50 pounds. Must be able to work in confined areas (i.e. crawl spaces, attics) and heights (i.e. rooftops, ladders, scaffolding, etc.); must be able to handle heavy objects such as tools, equipment, and building materials;
