Position Summary:
The Upper School Assistant exhibits initiative, dedication, cooperation, punctuality, extreme organizational skills, and regard for confidentiality.
The Upper School Assistant performs all duties as assigned by the Head of the Upper School, Dean of Faculty, Dean of Students and Dean of Academics. In this important role, the US Assistant serves as an active member of the Upper School Administrative Team and attends weekly meetings.
Major Responsibilities:
With respect to the Head of the Upper School, the Upper School Assistant:
- Navigates and maintains in Blackbaud all things involving the Upper School.
- Coordinates and ensures accuracy of essential documents in the Reference Handouts folder.
- Assists with the Upper School calendar and coordinates facility requests.
- Coordinates from start to finish and makes all arrangements for the following Upper School events:
- Family and Advisor Conferences (in conjunction with MS Assistant)
- Upper School Awards Ceremony
- Senior Internship Program
- Graduation/Commencement
- Assists with the organization and planning of Upper School Terrapin Day.
- Works with appropriate vendors to organize ordering of class rings, senior graduation announcements, senior/faculty cap and gowns.
- Schedules appointments and conferences as needed.
- Assists with planning and implementation of Declamations and serves as a judge.
- Assists with after-hours Upper School functions such as Parents’ Night, Moving Up Night, and new family programming.
- Maintains files of all student and faculty forms, and makes them available to students and faculty as appropriate.
- Prepares and distributes all necessary student and faculty information packets.
- Coordinates with Communications Office as necessary on Upper School communications such as:
- Student First Week & Orientation
- May mailing
- July mailing
- Probation and eligibility letters (each semester)
- Head’s List/Honors List letters (each semester)
With respect to the Dean of Students, the Upper School Assistant:
- Assists students who are sent to the Dean’s Office.
- Proctors DH when necessary.
- Student Agendas – keeps track of corrections, makes changes to and prints/distributes each year (in conjunction with MS Assistant).
- Assigns and manages lockers at the beginning of each year.
With respect to the Academic Dean, the Upper School Assistant:
- Assists with PSAT testing.
- Assists with communication with new families over the summer in regards to scheduling.
With respect to the Dean of Faculty, the Upper School Assistant:
- Responds to faculty job request resumes/maintains employment request files; arranges hotel/visitation schedules for teaching candidates.
- Coordinates teacher evaluation surveys.
- Continuing Education: maintains professional development hours for all faculty and updates continuing education opportunities.
- Handbooks: Keeps track of corrections, makes changes, helps produce, print and distribute the Curriculum Guide
The Upper School Assistant is also responsible for providing back up for other staff members on an as needed basis. These responsibilities include:
- Covers the receptionist desk weekly during lunch hour.
- Covers the receptionist desk as needed throughout the year, to include covering for vacation time.
All staff will support and assist in carrying out school rules and policies and will follow prescribed office hours and lunch hours. From time to time, staff may be asked to help in other offices, but such requests must be channeled through and approved by the appropriate supervisor.
Qualifications:
- Bachelor's degree, or the equivalent combination of education, training and experience from which comparable skills can be acquired.
- Experience working in an academic environment.
- Superior communications skills, including writing and presentation skills.
- Ability to handle student data in a discrete and confidential manner.
- Strong active listening skills, problem-solving skills, and attention to detail are a must.
- Strong organizational and interpersonal skills; must be able to work independently and to be a team player.
- Adaptability to new and evolving technology, and ability to demonstrate innovation and vision related to the efficient processing of information related to this role.
- Intermediate to advanced proficiency with technology and software including Microsoft Office, Email, Google Calendar, and Google Drive.
- Experience with any school SIS system, ideally BlackBaud.
- Superior time management skills and the ability to meet deadlines in a busy school environment.
