Under the general, technical, and administrative supervision of the Head of School, and in accordance with The Derryfield School’s established policies and procedures, the Administrative Assistant performs administrative and office managerial functions for the Head of School.
The Assistant to the Head of School will:
Essential Duties and Responsibilities:
- Project a professional school image through in-person and phone interactions. Answers phone calls and greets students, parents, and visitors in a pleasant, informed manner.
- Oversee all communication from HoS office
- Oversee and help manage budget for Head’s office
- Provide phone coverage in the Upper School Main Office during vacation periods when the Upper School Secretary/Receptionist is away.
- Maintain schedule for very busy Head of School and help prioritize ever-changing scheduling needs.
- Schedule all meetings, as well as proof and assemble all material for Board of Trustees meetings.
- Attend Board of Trustee meetings and take, prepare, and publish meeting minutes.
- Edit and proof all HoS correspondence
- Oversee NAIS/DASL Data Online survey
- Coordinate New England Association of Schools and Colleges (NEASC) accreditation process
- Oversee faculty/staff vacation calendar
- Work with the Head of School on all major projects.
- Some marketing and writing as assigned
- Possess a sense of humor
- Join forces with the entire faculty and staff to carry out activities essential to a healthy happy school environment as determined necessary by the Head of School.
- Fulfill other duties as assigned
Skills and Knowledge:
- Work with a multi-line telephone system and must know telephone protocol.
- Strong knowledge and skill with computer packages specifically email, internet, Microsoft Word, Excel and Google Docs.
- Superior customer service skills with daily interactions with students, parents, co-workers, Board of Trustees and guests of the School.
- EOE
- Associate’s degree or equivalent from two-year college or technical school
- 5+ years of experience in Executive Administrative role
- Professional/ formal administrative training preferred
- Strong administrative skills required
- Strong writing skills required
- Occasional overtime required for certain School activities; overtime may be mandatory, especially if called in for an emergency.
- Computer skills.
