The Associate Director of Admission and Financial Aid reports to the Director of Admission, and will assume the duties of that role when the Director is not on campus. They will help create and support a collaborative work environment that is consistent with Barrie’s mission, is responsive to the school’s needs, and is welcoming to families interested in learning more about and seeking admission to Barrie School. S/he works full-time and follows the twelve-month administrative calendar. The Associate Director partners with the Director of Admission to establish and maintain a culture of trust, confidence, and respect with each constituency including but not limited to prospective families, faculty, parent volunteers, and divisional directors. They will participate in daily administrative duties alongside the other members of the Admissions Team, including but not limited to filing, answering phones, greeting students and visitors, scheduling meetings and appointments, etc. Compensation and Housing: Salary and benefits will be commensurate with experience, and will include a generous vacation package. As with all Barrie employees, the position includes 50% tuition remission for students age 3 through 12th grade, and 25% tuition remission for enrolled toddlers. In addition, depending on interest and availability, this position may come with access to convenient, quality housing located in a quiet residential street adjacent to campus to be rented to the Associate Director significantly below market. |

Skills + Requirements Qualifications: 2-5 years of experience in either School Admissions or marketing and social media in a for-profit or non-profit organization. Key skills needed for the position are interpersonal collaboration, a strong background in marketing and social media, meticulous follow through, data driven analysis, and a proactive customer service orientation. Our ideal candidate will have a Bachelor of Arts, Bachelor of Science, or equivalent higher education experience. |
Admission Core Responsibilities:
- Strategic Focus: Communicates Barrie’s mission, admission requirements, and application process and procedures to interested families from inquiry through enrollment
- Marketing: Works directly with the Director of Admissions and Director of Communications on marketing and social media to develop a school-wide media campaign to enhance enrollment.
- Events: Coordinates virtual or in person admissions events, tours, and campus visits for prospective students and families. Represents the school at conferences, fairs, and other gatherings during weekends and evenings.
- Student Information System: Serves as the primary contact for the admission portion of the student information system, InResonance.
- Admissions Funnel: Effectively tracks and manages an applicant’s status via communication in person, or by phone, mail, fax or email. Assists with analyzing admission data and creates reports as needed.
- Enrollment Reports: Works in collaboration with the Director of Admission in the weekly enrollment reporting process for the Board of Trustees.
- Committee Process: Is a senior member of each Admission Review Committee and helps coordinate and synthesize the completion of electronic application materials for a full committee review
- Contracts: Reviews and processes applications, enrollment and re-enrollment contracts for completeness, and follows up where required to complete applications.
- Partnership with Admission Ambassadors: Identifies, recruits, and trains parent and student Admissions Ambassadors to assist in telling Barrie’s story during the application process and recruitment events and tours.
- Stewardship: Works closely with the Director of Admission to develop and maintain effective onboarding strategies for families
- Professional Development: Receives ongoing training in Barrie’s software and database as well as emerging trends in admission outreach and recruitment.
Financial Aid Core Responsibilities:
- Strategic Focus: Collaborates with the Director of Admission and the Financial Aid Committee to strategically allocate FA funds in order to maximize enrollment.
- Coordination of FA Committee: Plans, manages and executes the financial aid process from inquiry through enrollment. Chairs the FA Committee and meticulously prepares the financial aid data so that all Committee meetings are run in an efficient, effective, and collaborative manner.
- Synthesis of Written Policies and Guidelines: Collaborates with the FA Committee to review and revise all written guidelines. Effectively communicates the core requirements of Barrie’s Financial Aid Program to current and prospective families.
- Budget and Database: Manages the financial aid budget, creates reports for the HOS and Admission Director, makes strategic recommendations, and maintains Barrie’s financial aid database. Core competency with Excel and Google Suite is required.
- Communication: Develops and maintains robust outreach with families through personal contact, email communication, and digital/print materials.
- Professional Development: Receives ongoing training in how to facilitate “difficult conversations” with families and strives to maintain empathy and professionalism in all engagement with families.
Work Hours: 8:00AM to 5:00PM
Additional evening and weekend work will be required based on the admissions calendar
