Ethical Culture Fieldston is a progressive Pre-K-12 independent school that has been serving students throughout New York City and the surrounding suburbs since 1878. ECFS offers a rich curriculum in the arts, sciences, and humanities. The Role
The Manager, Database and Systems is a critical member of the Office of Institutional Advancement and will oversee the entry, processing, acknowledgement and analytics of every gift given to the School. This role is supervised by the Director of Development.
Key Responsibilities
- Responsible for maintenance of records in the Raiser's Edge database and providing reports on: prospects, donors, alumni, gifts, events.
- Process all gifts and manage deposit, credit card and online donation processes.
- Generates all acknowledgements and pledge reminders for donors.
- Work with the Finance Office to execute deposits, reconcile reports (development revenue, campaign status, pledge status) and prepare for audits.
- Train and provide technical support/direction to advancement staff.
- Prepare all lists for Annual Reports and donor recognition needs.
- Manage matching gift program and tribute gifts.
- Extract information and export data to other software applications.
- Develop and manage data analysis as it relates to fundraising/donor activities.
- Oversee the electronic and paper filing systems to record OIAA communications to alumni, parents and friends.
- Create and provide queries, reports, correspondence and mailing lists from the database including weekly/monthly reports on campaign status, prospect management and constituent specific activity.
- Maintain data standards for input to ensure database integrity.
- Write and maintain database documentation/procedures, including data input standards.
- Works with the fundraising team on the mailings as needed;
- Performs other related duties, as assigned.
- The successful candidate must be able to work well with all levels of employees, be flexible in nature, have sound judgment with an open and collaborative style that encourages teamwork and cooperation beyond the immediate team to the broader organization.
Qualifications
- Bachelor’s degree
- 3+ years of relevant work experience, including knowledge of Raiser’s Edge database software.
- Commitment to the school’s mission, familiarity with ECFS a plus
- Excellent written and verbal communication skills
- Exceptional level of organization and project management skills
- Ability to anticipate project needs, discern work priorities, and meet deadlines with little supervision
- Desire to be part of a team with the capacity to work well independently
- Ability to think strategically, creatively, analytically, and deal effectively with challenges
- Willingness to work nights and weekends as required
