Admissions Engagement Coordinator
This is a full-time position within the Admissions department reporting to the Director of Enrollment and Director of Admissions and Tuition Assistance.
Major Responsibilities:
This energetic and creative individual will design and implement positive and impactful visit experiences for prospective families to achieve enrollment goals. In this role the Admissions Engagement Coordinator will utilize the admissions database, website and other tools for project management and communication. The individual plans, manages, and executes operations associated with campus visits, events, and virtual visit programs for prospective students, families, and groups.
The Admissions Engagement Coordinator is integral to creating a welcoming environment as the first main point of contact for Admissions Office visitors. This position also supports the Admissions Office in performing a variety of administrative and clerical duties related to office operations and projects.
Admissions
- Act as point of contact for prospective families as they request information to guide them through the inquiry and application process. Including, but not limited to, sending emails and informational packets to inquiries, answering procedural and event-related questions, connecting families with the appropriate Director.
- Manage the Parent Ambassador Network (PAN) Caller Program, including recruiting and training callers, assigning weekly calls, and forward feedback from prospective families to Admissions staff.
- Input of applicant data into the Enrollment Management database, including, but not limited to, processing applications & recommendations, adding checklist steps, uploading documentation, testing, contact information, generation and sending of official notes.
- Send out email (official notes through database) confirmations and reminders of interviews and student visits for all divisions.
- Check testing sites (ISEE/SSAT) for incoming test scores, enter scores and alert Directors, assign fee waivers as needed.
- Check the general admissions email mailbox and web inquiries. Forward email correspondence to directors for follow-up.
- Be present to greet and say good-bye to admission visitors. Ability to independently lead tours when necessary.
- Order office supplies and gifts/swag, maintain inventory and place new orders as necessary, including gifts for events, visiting students, admitted students and enrolled families.
- Reconcile bills and invoices (credit card and other invoices), assign appropriate budget codes.
Event Management
- Enter admissions events into the Enrollment Management database calendar, add events to the admissions section of the website.
- Oversee calendars including scheduling meetings, admissions events, group tours etc. Serve as liaison to the All-School Calendar Committee.
- Generate and distribute registration lists for tours and events to appropriate people (Admissions Team, divisional staff, receptionists, etc.).
- Manage both virtual and on-campus events/activities. Virtual event set-up and hosting Zoom meetings/webinars. Monitor and reconcile all virtual event registrations.
- For on-campus events, work with the Admissions team to plan events, and coordinate setup plan with Physical Plant, Dining Services, colleagues, outside organizations, etc., as required to ensure events run smoothly. ongoing review of set-up, making changes as needed.
