Job Title: Operations Manager
Department: Operations
Reports To: Head of School
Employee Classification: Full-time, Exempt
Daily Schedule: Monday - Friday, 7:15am - 4:15pm (with one hour break)
Salary Range: $45,000 - $60,000 per year
The Montessori Academy of Colorado is seeking an Operations Manager. This is a full-time, 12-month administrative position. The Operations Manager is a member of the Leadership Team and is an integral part of MAC. This position requires a solution-oriented mindset, positive attitude, flexibility, and a strong commitment to do whatever it takes to get the job done right.
General Duties:
- Establish and maintaining positive working relationships with members of the school community
- Ensure that all classrooms are adequately staffed each day
- Track and report faculty absences
- Coordinate substitutes with Front Range Substitute Service
- Communicate with division directors and employees to ensure that anyone impacted by an absence is informed in a timely, proactive, and manner
- Adjust employee daily schedules as needed to maintain adequate ratios in each classroom (such as podding, rearranging lunch breaks, etc.)
- Find administrative coverage as needed
- Help in classrooms when staffing requires
- Collaborate with HR Manager and MAC Leadership to proactively reduce faculty absences
- Assists Director of Finance with reconciliation of payroll hours
- Ensure efficient operation of school front office and daily operations
- Work in the main office
- Address any maintenance issues with facilities manager and head of school
- Troubleshoot staffing issues with HR Manager
- Help classrooms with missing supplies as necessary
- Direct all parent, vendor and visitor traffic with a calm, professional, and warm demeanor
- Manage all weather related or emergency related closures
- Work with Head of School to call inclement weather delay/closure
- Communicate with all school stakeholders
- Manage snow removal contractors
- Coordinate any emergency reopening activities in the event of closure
- Keep up-to-date on evolving educational legislation and communicate with administrative colleagues regarding changes
- Work directly with front office staff and facilities manager to maintain a professional, orderly environment
- Collaborate with facilities manager on all building repairs, construction, moves, janitorial and custodial function, building security and relations with neighbors
- Create and update policies and Standard Operating Procedures, safety and security manuals, including overseeing drills, crisis management, and other risk management duties
- Oversight of school safety compliance with federal, state, and local regulations by studying existing and new requirements, overseeing, and working with the Leadership Team to enforce school-wide adherence to requirements
- Oversight of all school health services in conjunction with school nursing consultant
- Coordinate of all licensing requirements and compliance in conjunction with the Head of School
- Coordination of funding and resources from Denver Preschool Program, in collaboration with Program Directors
- Schedule, lead and document school wide drills
- Chair of Risk Management Committee
- Maintain Student/Parent Handbook and recommend changes
- Coordinate with Executive Assistant to arrange for In service set up and execution
- Open school building daily. Ensure staff and children have left, all doors and windows are securely closed and all systems are down for the evening/weekend
- Technology management
- Strong understanding and execution of both Apple, Google, and Office platforms
- Background in technology troubleshooting
- Fluent in spreadsheet creation and usage
- Create system for school technology inventory tracking
- Work with Director of Communication on management of data storage such as classroom pictures
- Manage vendor relationships with telephone, security, internet provider and IT consultants to meet the needs of the school
Qualifications:
- Bachelor’s degree required
- Experience in an educational setting preferred
- Demonstrated ability to communicate, solve problems, and maintain effective relationships with all members of the school community
- High level of interpersonal skills to handle sensitive and confidential situations and information
- Ability to plan, organize and work independently with minimal direction
