Job Summary
We are seeking candidates for the full-time position of Upper School (9-12) Registrar / Administrative Assistant starting in July 2022. The salary is competitive and commensurate with qualifications and experience. Employer-sponsored health insurance and a 403B retirement plan are offered.
Responsibilities
The Upper School (9-12) Registrar / Administrative Assistant reports to the Assistant Head of School for Academic Affairs (AHOS). This person’s responsibilities include, but are not limited to, the following areas:
- Maintaining strict confidentiality
- Updating student transcripts each semester
- Calculating and verifying student grade-point averages
- Generating grade reports for distribution to students, parents, advisors, and files
- Responding to requests for transcripts and/or verification of graduation
- Providing support to the Director of College Counseling by sending transcripts, recommendations, and other documents to colleges on behalf of Upper School students
- Arranging appointments for visiting college admissions counselors
- Assisting in the facilitation of the annual College Night for Juniors program
- Assisting with scholarship applications
- Assisting with the coordination of Commencement and other US activities
- Answering phones; directing calls and responding to inquiries
- Greeting and assisting students, parents, faculty, and visitors
- Assisting students with minor health issues
- Ordering supplies and maintaining supply closet
- Running the postal meter and distributing incoming mail
- Coordinating substitute teachers for the Upper School faculty
- Collecting and maintaining required Upper School forms
- Collecting and maintaining required Upper School medical and immunization records
- Maintaining physical and computerized academic records
- Tracking and rectifying daily student attendance
- Performing additional administrative and clerical duties as directed by the AHOS
Desirable Characteristics
An associate’s degree is required; a bachelor’s degree and/or previous school employment experience is preferred. The ideal candidate will have familiarity with or be a quick study in the following software: Powerschool, Naviance, Google Apps for Education, and Finalsite.
