The Executive Assistant & Office Manager serves as an executive partner, office manager, special projects lead, and administrative lead for the Advancement and Communications teams. Responsibilities include scheduling meetings and appointments on and off-campus, coordinating domestic and international travel plans, fielding phone calls, and drafting and editing correspondence and reports. Additionally this position manages the departmental budget tracking and reporting, oversees the scheduling and logistics of all division-wide functions and celebrations, and manages the team’s hiring, recruiting and onboarding processes. The position requires leadership and professional maturity, discretion and professionalism in dealing with sensitive and confidential information, and experience managing operational team support in an exciting and demanding work environment.
The successful applicant will have a bachelor’s degree and 3 years or more of office management or related experience. Experience in professional and correspondence-oriented writing, analytical thinking in building presentations and executive memos and reports, and executive level scheduling and administrative support required. Understanding the workings of an educational institution and advancement is highly preferred. Knowledge of contemporary philanthropy and a strong understanding of budgets and finance management is required. Candidates should have the ability to effectively, and persuasively communicate ideas, thoughts, and facts orally and in writing. The ideal candidate must be organized, highly decisive, able to prioritize, adapt and manage concurrent projects with competing deadlines. Proficiency with Microsoft Office and Google products required. Additional qualifications include the ability to work collaboratively with a team, as well as being a self-starter capable of working independently. Some weekend and evening work required.
