Position Summary
The Executive Assistant serves a key role in the “center” of the School’s organization. First and foremost, this position supports the efforts of the Head of School and the Asst. Head & Dean of Faculty. In addition, this position is the primary contact for the School’s Board of Trustees. The person in this position handles delicate and confidential information and is able to communicate and work effectively with all community members and constituent bodies at the School (i.e.: Faculty, Staff, Leadership, Board, parents, and students).
Essential Duties and Responsibilities (include, but are not limited to, the following)
Scheduling & Calendar Maintenance
- Set-up and maintain the regular daily/weekly calendar for the Head of School and the Asst. Head & Dean of Faculty
- Schedule appointments for both the Head of School and the Asst. Head & Dean of Faculty throughout the year on an as needed basis
- Create candidate visit schedules for faculty and staff candidates being hired by either the Head of School or the Asst. Head & Dean of Faculty
General Support
- Balance multiple projects at one time, with flexibility to be available to incoming needs as they arise
- Interface with school community
- Work with members of the entire school community
- Maintain a positive attitude, welcoming personality, professional and friendly demeanor
- Maintain awareness of daily school activities
Board of Trustees Management
- Generate and distribute annual meeting calendar for the Board of Trustees (i.e.: Board meetings, Annual Retreat, and committee meetings)
- Generate and distribute meeting packets (i.e.: agendas, schedules, supporting materials) the week before committee and Board meetings occur
- Maintain and update the online portal for the Board of Trustees
- Plan the event logistics for the Annual Board retreat, monthly committee, and Board meetings, and usually 1-3 social gatherings each year
- Take the minutes of each monthly meeting and ensure that they are reviewed by Board officers and filed as the official meeting minutes of the institution
- Maintain records of Board of Trustee votes, resolutions, minutes, etc.
Event Planning & Execution
- Create and execute various Faculty/Staff social events on and off campus on behalf of the Head of School and/or the Asst. Head & Dean of Faculty
- Lead the execution of the School’s annual Commencement of its senior class
Qualifications (minimum requirements)
- 3 years’ experience as an Assistant supporting executives and/or event management work preferred
- Strong customer service and organization skills
- Ability to promote and maintain confidentiality
- Ability to communicate pleasantly and effectively with students, parents, and Faculty/Staff members
- Ability to work independently and cross functionally with other departments
- Team player
- Strong computer skills to include the ability to develop spreadsheets, maintain and update databases, accomplish word processing tasks, prepare presentations, and access e-mail and Internet applications; perform job requirements with limited supervision; supervise administrative subordinates
