Enrollment Management Associate
Non-exempt / Fulltime Position
Summary
The Enrollment Management Associate at Providence High School supports the work of the Admissions Department and supports the admissions goals of the School. This role plays an integral part of keeping the admissions office running smoothly, ensuring further digitization of the admissions process and student files, and coordinating the application evaluation process. The Enrollment Management Associate is responsible for supporting the admissions process and procedures, and provides accurate and appropriate information to applicant parents, faculty and staff. Some evening and weekend hours for events are required.
Reports to: The Enrollment Management Associate reports to the Director of Enrollment Management and is part of the extended Advancement team.
Responsibilities:
1. Serve as the primary contact for prospective families, communicating in person as well as by phone, email, and video chat, throughout the admissions process.
2. Foster high ethical standards, integrity, and respect for colleagues, parents, and students throughout the admissions process.
3. Manages digital applications in the admissions database, checks information for accuracy including name and date of birth, and follows up with families when needed.
4. Manage follow-up communication to families and sending schools to ensure that admissions applications are complete and ready to enter the file reading and admissions committee phases of the enrollment cycle.
5. Participates in admissions committee and the admissions decision processes.
6. Monitor and respond to emails sent to the Admissions email account and forward messages to other members of the department when appropriate.
7. Conduct admissions interviews with prospective students and their families.
8. Collaborates with other members of the Admissions and Enrollment Management team in all aspects relating to the recruitment of prospective students.
9. Assist in the preparation of decisions letters and welcome packets for newly admitted students.
10. Collaborate with the Admissions and Enrollment Management team to plan and execute all Admissions events including Open House, Focus Program Nights, Meet PHS events, Welcome Party, etc.
11. Build meaningful relationships with prospective families, current families, and alumni through active engagement and effective communication in person or otherwise.
12. Assist with distributing information on new students to faculty/staff as needed.
13. Greet and engage with admissions and development guests to the Advancement Office.
14. Updates and maintains information pertaining to heads of school, principals, and pastors of partner schools. Coordinates with Marketing and Communications Department to keep partner school mailing lists up to date and accurate.
15. In cooperation with the Financial Assistance Associate, assist with follow-up communications with families who have applied for financial assistance to ensure that all applications are complete and ready for evaluation by the Financial Assistance Committee.
16. Manage Campus Tour RSVPs and communications. Check in guests and engage fully with students and parents at all Campus Tours. Participate in tours of campus when possible.
17. Carry out other Admissions-related activities as requested by the Director of Admissions and Enrollment Management.
18. Ensure high degree of organization, follow-through, and timely communication with colleagues and families.
19. Provide timely and accurate data for annual data reports, including NAIS and Cal-ISBOA.
20. Performs other duties or projects as assigned by Director of Admissions and Enrollment Management and by the Head of School.
