POSITION TITLE: Development Database and Donor Services Coordinator
REPORTS TO: Advancement and Finance Department Administration
FLSA CLASSIFICATION: Non-Exempt/Full-Time | |12 Month Position
POSITION OBJECTIVE: The Development Database and Donor Services Coordinator serve in the technical capacity for the Advancement Department’s daily operations, which include an Annual Fund, capital campaign, alumni relations, and frequent special events. The person in this role is well-versed in Blackbaud Raiser’s Edge NXT or similar fundraising database and will work in collaboration with the LMS manager and Director of Media Arts & Advancement Services Coordinator to manage and maintain all constituent and donor base software. This position will have the primary role of producing easy-to-read queries/reports and maintaining database integrity/confidentiality. This position will manage gift entry for all donations as well as produce acknowledgment letters.
ESSENTIAL JOB DUTIES
Database Management
- Manage all aspects of the fundraising database including data accuracy, updates, and corrections
- Produce all queries, reports, and lists needed by development officers in an easy-to-read manner
- Create dashboards that graphically demonstrate revenue progress in real-time
- Proactively analyze, interpret, and synthesize biographical and financial information of new prospects and existing prospects by use of Wealth Engine or similar databases; Provide information to the development team
- Provide monthly status reports on Annual Fund, capital campaigns, and alumni performance
- Maintain data integrity, clean up inconsistent data, and tuneup database performance across a wide range of data structures
- Manage data connections and transfers between Raiser’s Edge and other external systems as needed
- Maintain documentation of database structures, queries, and reports
- Research ways to improve efficiencies for current data management processes
Gift Entry, Acknowledgments & Reconciliation:
- Receive and enter all gifts into the appropriate accounts/funds; manage check, credit card, stock, and online donation processes
- Produce acknowledgment letters/tax receipts while checking for grammatical/typographical mistakes and knowledge of practical tax receipting protocol
- Manage the department’s hard copy and electronic donation files
- Generate pledge reminders for the Annual Fund, the annual auction, capital campaigns, and other funds
- Reconcile monthly with the Finance Department: convey all cash, checks, and credit card donations to Finance Department in a timely manner
- Make bank cash deposits as needed
Special Projects and Events:
- Reports to Director of Media Arts & Special Events to support and implement Mustang Golf Invitational event with support from the Advancement department and in collaboration with the Director of Athletics and Head of School
- Responsible for managing the development database and constituent management including ongoing data quality control, biographical and gift data entry, outgoing correspondence, and reports.
- Works in tandem with Associate Director of Finance, including school revenue processor and tracker including credit card processing and check and cash log entries and reconciliation of monthly development reports.
- Overseas processing of all incoming gifts for the purpose of providing receipts and the maintaining of giving records of donors to Riviera Ridge.
- Serves as the main liaison for all direct mail solicitations and maintains current donor portfolios, direct design, and implementation of all development brochures, and annual reports.
- Works in collaboration with the Advancement team and will provide support to the creative direction and planning for all annual fundraising campaigns and alumni events.
- Works in collaboration with the Advancement team to foster relationships with volunteers and vendors, building strong constituent relationships that play an instrumental role in the success of the School’s overall fundraising and recruitment efforts.
- Works with Advancement team members and Executive Assistant to the Head of School to:
- Create call sheets and master spreadsheets for Annual Fund phone-a-thon
- Prepare donor listings for Annual Report and Year-End Giving
- Work with the Business Office and Advancement Department to help schools with digital initiatives
- Support and assist with all updated information in Greater Giving and other event software
- Occasionally work evenings or weekend special events including annual auction gala & golf tournament
- Perform other duties as assigned
QUALIFYING CHARACTERISTICS
- Knowledge, understanding, and commitment to The Riviera Ridge School mission, vision, and core values
- Preferred Bachelor’s Degree in Nonprofit Management, Business Accounting, or Education
- A minimum of 2-3 years experience with Raiser’s Edge NXT or similar fundraising database; Experience in an educational institution is helpful but not required
- Excellent interpersonal, written, and oral communication skills
- Ability to interact comfortably with students, parents, faculty, and staff
- Ability to maintain strict confidentiality
- Strong collaboration and teamwork skills, while also being able to work independently
- Detail-oriented, flexible, and organized with demonstrated initiative
- Well versed in technology, various software suites, and office equipment related to the position
- Ability to create presentations and reports for a variety of constituents using Blackbaud, Raiser’s Edge, Google Suite, and/or Apple technology
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
- Work in a school environment and/or remote location
- Ability to manage a wide variety of challenges, deadlines, and a varied and diverse array of contacts
- Occasionally bend, stoop, and squat
- May work at a desk and computer for extended periods of time
- Be able to occasionally lift up to 40 lbs.
- Willing to work some evenings and weekends for school-related events or projects

This position is a permanent, full-time position. Pay is competitive and commensurate with education, experience, and skills. The start date is July 1, 2022, or as soon as available.
