Latin School of Chicago is seeking an experienced Registrar to join our team!

The Registrar is responsible for providing leadership in managing the reporting, maintenance and storage of student records. The Registrar supports all aspects of student records management including collecting, recording, maintaining, and reporting within FERPA guidelines (grades registration data, transcripts, enrollment verification, and other associated audits).
Responsibilities:
- Maintaining accurate and up-to-date student/family demographic information
- Annually prepare 5-Year View calendar and present to Senior Administration for approval
- Create Academic Calendars for all three division
- Maintains day-to-day academics calendars in Blackbaud
- Working with department and division heads on yearly staffing
- Communicating with faculty and division heads regarding grading deadlines and exam scheduling
- Serving as the Registrars Office liaison with MBS Textbook Exchange
- Facilitating faculty requests, timelines, and backorders
- Updates courses in MBS
- Loads Shop By Schedule data for Middle School and Upper School
- Working with Facilities to secure rooms for ad hoc academic and other school events
- Builds the master schedule for Middle School and Upper School by facilitating student input and staffing needs
- Shares and oversees the student placement and staffing documents
- Assists Upper School Division Director in new course proposal process
- Builds and distributes course registration forms
- Updates Blackbaud with student requests, staffing, and publishing of schedules
- Oversees and updates the course catalog
- Manages add/drop period
- Oversees waitlists for classes
- Assists Lower School in loading all homerooms and specials into RomanNet
- Provides Upper School Student Support Team with C-DFI list quarterly
- Follow up on Incompletes with faculty
- Complete education verifications
- Coordinates timing of transcript generation with College Counseling Office and Data Manager
- Maintains all grade, award, student demographic info in Blackbaud
- Point person for all edits to transcript template and any data inaccuracies
- Distributes transcripts for student, alumni, and parental needs
- Assists faculty with grade changes, class and activity group set-up, and other help as needed
- Basic reporting for MBS, grades, class lists, schedules, etc.
- Ordering of diplomas and name verification
- Assisting in graduation program for award labeling and other denotations
- Register teachers yearly renewal for AP courses
- Yearly roll over of Blackbaud, SIS, including withdrawing and promoting of students
- Manually enters summer grades annually (Summer at Latin, GOA)
- Manually enters student awards into RomanNet
- Assists with Independent Study Proposal process
- Coordinates schedules for Back to School Night Events
Qualifications:
- Bachelors degree
- 3-5 years of experience in a Registrar position preferably at an independent school of similar size and student composition or at the university level
- Solid interpersonal, organizational, leadership, problem-solving and communication skills, as
- well as the ability to maintain confidentiality in all aspects of the job
- Possess exceptional attention to detail and the ability to work independently while prioritizing duties and working on multiple tasks with frequent interruptions
- Experience with Blackbaud preferred
