The EHS Advancement Office fosters relationships with and among individuals and organizations whose engagement, school pride, and financial support fuel the efforts and achievements of students, faculty, and staff in pursuit of the School’s mission and strategic priorities.
Episcopal High School seeks an Assistant Director of Advancement Programs to join the Annual Giving & Special Programs Team within the EHS Advancement Office.
General Description: The Asst. Director of Advancement Programs will foster relationships with and among the School’s alumni and parents through in-person and virtual events, personal outreach, and occasional travel. The candidate will provide key administrative support to the Diretor of Events and Director of Annual Giving & Special Programs. The Asst. Director of Advancement Programs reports to the Director of Annual Giving & Special Programs.
Essential Duties and Responsibilities:
- Lead the logistical planning and execution of regional receptions, campaign events, parent receptions, the EHS Athletics Hall of Fame, and small boutique events like affinity gatherings, book clubs, etc. These responsibilities will include finding venues, coordinating with event hosts, and arranging catering, A/V needs, event set-ups, etc.
- Manage all of the administrative work and communications related to Advancement events, including: managing data in Raiser’s Edge, creating invitations in EventBrite or Paperless Post, tracking registrations, sending confirmations and reminders, managing inboxes, and creating nametags, programs, other event materials, etc.
- Work directly with alumni Reunion volunteers throughout the year; support Director of Annual Giving & Special Programs and Director of Events with Reunion planning and communications.
- Support Director of Annual Giving & Special Programs in planning for other engagement events such as: Family Weekends, Spirit Weekend, the Advisory Council, and CONNECT (networking) events.
- Send key stewardship pieces such as host gifts, alumni birthday videos, baby onesies, etc., and do personal outreach as needed to keep constituent information up-to-date in Raiser’s Edge database.
- Staff key advancement events such as fall and spring family weekends, Spirit Weekend, Reunion Weekend, and occasional special events.
- Be willing to support Episcopal’s fundraising efforts as needed and appropriate
General Skill & Experience Requirements
- A bachelor’s degree with 3-10 years of professional experience, preferably in non-profit/educational fundraising, marketing, sales, or administrative work, and familiarity with independent schools.
- True appreciation for the mission and values of Episcopal High School
- Experience using Raiser’s Edge or another contact management system / database.
- Event planning experience
- Strong organization skills; extremely high attention to detail and formatting
- A knack for building and maintaining relationships and the ability to communicate professionally and confidentially via phone, email, and in person
- A creative mind for finding ways to connect people through events and programs, combined with the practical attention to detail required to make ideas into realities
- Strong writing and editing skills
- High levels of initiative, proven ability to work independently and to manage time effectively
- Good judgment and willingness to ask for guidance and support when needed
- Ability to master relevant necessary technological tools and platforms, possibly including but not limited to: EventBrite, Paperless Post, Raiser’s Edge database, ThankView; Google Suite, Zoom, WebEx, and Canva / Adobe or other editing software.
- Willingness to work occasional evenings and weekends, as well as travel
