Poly Prep seeks applicants for the position of Advancement Services Associate (Leave Replacement). The Advancement Services Associate supports all areas of the Advancement Office, with an emphasis on gift acknowledgement and office management in order to maintain and strengthen our work with donors. The Advancement Associate provides a key element supporting and advancing the work of all functions within the Advancement Office.
PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES
- Manages gift processing and acknowledgement in a timely and accurate fashion and in accordance with Poly Prep’s gift acceptance policies.
- Ensures pledges are recorded properly and support the team in preparation of monthly pledge reminder letters/emails.
- Prepares and executes the Segal Protocol thank you phone calls list daily for the Advancement team.
- Works on monthly and annual reconciliation with the Finance Office.
- Prepares and delivers data requests on time and discusses them with the Director of Advancement Services when needed.
- Supports managers and directors of various Advancement Office programs (Annual Giving, Alumni Relations, Major Gifts, and Events/Parents Relations) to provide accurate and properly formatted gift data reports, analyze data, manage event data, and support production of the Impact Report data.
- Performs periodic maintenance to ensure gift data is up-to-date, accurate, de-duplicated and that best practices are being implemented and documented.
- Reconciles Amex Bill monthly with the Business Office.
- Performs other related duties and required or assigned.

QUALIFICATIONS
Education: Bachelor’s degree
Experience: Raisers Edge or database equivalent
Specific Skills: Attention to details, accuracy, ability to maintain concurrent projects, database skills, Google Workspace and Microsoft Office, maintains confidentiality, and ability to work in a fast-paced, flexible, team environment
