The Advancement Associate reports to the Director of Advancement and is an essential member of the Advancement team. The Advancement Associate serves as the Database Manager. In this role, the Advancement Associate will maintain and oversee the donor and constituent database in support of all fundraising, and constituent relationships of the school. This position will play a collaborative role on events coordination and planning. This position will also provide administrative support as needed to the Director of Advancement as well as other duties described here and as assigned.
Overview of Responsibilities
- Act as Raiser’s Edge Database Administrator for the organization. Database responsibilities include: Manage Raiser’s Edge donor database, including maintenance, user accounts, global changes, gift entry, donor acknowledgements, reporting, queries, and data clean-up projects with the goal of providing current, consistent and accurate data. Develop and deliver clear and accurate reporting and tracking vehicles and instructions for reports, dashboards and data extracts. Create and implement up-to-date Standard Operating Procedures for entry and reporting and ensure all entries conform to these procedures. Produce all mailing lists from Raiser’s Edge database for mailings such as invitations, newsletters, and direct mail pieces. Responsible for all primary constituent record keeping, record updates, changes, including address, phone, business, and other updates.
- Assist in the management of an alumni relations database.
- Support Peck’s fundraising efforts, including The Peck Fund and any future Capital Campaigns, and other major gift initiatives.
- Work with the Business Office to reconcile gift records and the yearly audit.
- Assist with all Advancement and Alumni Relations events, including by processing all event details within the database and in the school calendar and facilities request module, representing Advancement at the Event Committee meetings, and providing on-going and day-of assistance for events.
- Manage the Advancement and Parents Association calendar of events and meetings on both the internal and parent portal calendars.
- Offer support to the Peck Parents Association.
- Manage the donor recognition sections of the Annual Report.
- Proofreading support to the strategic communications office to ensure accuracies and excellence in school publications and all materials.
- Attend school-related events regularly and contribute to school operations with assigned support responsibilities (e.g. lunch and recess proctoring, coverage of the reception desk, etc.)
- Other duties as assigned.
Qualifications
- Bachelor’s degree required
- Three to five years of experience in the advancement field or equivalent experience in related field
- Proficiency in Blackbaud Raiser’s Edge strongly preferred
- Proficient in Google Suite
- Energetic personality and strong interpersonal skills
- Effective communicator with a diverse constituent group
- Exceptional attention to detail and ability to problem solve
- Ability to meet deadlines in a time-sensitive and fluid environment
- Demonstrated ability to work independently and collaboratively as a member of a team
- Adhere to strict confidentiality of prospect and donor information
- Ability to work occasional nights and weekends when required
