Summary:
This position is a full-time administrative staff appointment. The Executive Assistant to the Head of School (CEO) provides the highest level of administrative support, liaison presence, and office responsibility on behalf of and to the Head of School (CEO). This position also supports the Senior Leadership Team and the Board of Trustees as needed.
Responsibilities:
- Provide support of a complex, responsible nature to the Head of School, Senior Leadership Team, Board of Trustees, general school administrative staff and constituents as needed.
- Assist the Board of Trustees Chair, the Executive Committee, and Board Committee Chairs. Manage the Board’s annual budget, maintain annual documents for the Board and Board historical records. Maintain the Board’s annual calendar, plan logistics for all Board and Board Committee meetings, attend the Board meetings, record proceedings in accurate and concise manner, and prepare minutes for distribution.
- Assist the Head of School with any Board responsibilities.
- Manage the Head of School’s calendar. Anticipate future and ongoing scheduling needs, confirm appointments, prepare in advance materials needed for upcoming meetings.
- Schedule and coordinate administrative meetings, conferences, appointments, and travel.
- Work with the Finance and Operations departments on contractual and procedural matters, as determined by the Head of School.
- Edit and coordinate the publication of major school documents and handbooks throughout the year; prepare drafts, gather revisions, circulate drafts and compile finalized editions.
- Review, edit and proofread documents prepared by the Head of School. Draft standard correspondence as assigned.
- Assist the Head of School with any strategic initiatives including research, correspondence, and document preparation.
- Coordinate and produce state, national, and accrediting institution reports and surveys.
- Maintain various calendars and the master school facilities use schedules.
- Plan and manage the Head of School’s annual budget, monitor accounts; procure equipment and supplies for the Head of School’s Office.
- Maintain Head of School’s office records.
- Assist Marketing and Communications, Development, Finance and Operations, and other Divisional areas with the administration of projects as needed.
- Exercise independent judgment in identifying and administering Head of School’s projects of a public relations nature in service to the school.
- Other tasks as assigned by the Head of School
Salary is commensurate with experience. The successful candidate will have:
- Earned a bachelor’s degree
- 3 to 5 years of experience in a similar position
- Expertise in working with detailed, confidential material in a professional manner with minimum supervision.
- A high level of oral and written communication skills
- Excellent proofreading and editing skills.
- The ability to take accurate and concise minutes
- A high level of organizational skill and planning capability
- Computer proficiency skills including an intermediate level of word processing, spreadsheet and powerpoint; desktop publishing; and internet searching and web posting skills.
Preferred qualifications include:
- Experience in education in a similar position
- Familiarity with Google Suite for Education and Mac/Apple hardware/systems
