Position Summary: This position is responsible for the oversight and management of the substitute teacher program. Additionally, this person will serve as the first point of contact for all students, staff and guests entering the school. They will provide administrative support to IMG Academic department by assisting in the management of the day-to-day operations including general clerical, receptionist and project- based work. Projects a professional and positive image through all interactions.
Position Responsibilities
- Oversee 15+ substitute teachers including management of interviewing, hiring, termination, scheduling and payroll, ensuring a reliable and effective substitute pool.
- Evaluate and analyze substitute system for efficiencies. Suggest improvements and adjustments as needed to ensure students have top tier coverage while their teacher is not present.
- Respond promptly to last minute call outs during nights and early mornings to ensure a substitute is prepared to fill in the next day.
- Manage substitutes and daily staffing gaps including reconciling payroll and auditing expenses to ensure compliance
- Broad range of administrative and support tasks to including, but not limited to: greeting students and families, answering phones, managing an active calendar of appointments, monitoring/responding to emails, project-based work and composing, handling or preparing confidential correspondence.
- Represent the academic center as a forward-facing institution, oversight on visitors, students, staff entry into building
- Plan and coordinate various internal and external events including campus tours and overall building maintenance
- Coordinate school inspections with safety personnel
- Coordinate and facilitate order of school supplies and furniture while maintaining records on office space, phones, parking decals and office keys.
- Assist with academic special functions and events
- Adhere to all company policies, procedures and business ethic codes, and all rules of governing agencies including the NCAA and FHSAA.

Knowledge, Skills and Ability
- Associates degree or related experience
- Must promote a positive environment and maintain professionalism while interacting with students, staff and guests
- Proficiency with MS Office (Outlook, Excel, Word, PowerPoint & OneNote)
- Must have an understanding of an educational and athletics environment
- Must exercise discretion and independent judgment
- Must be able to interact with staff at all organizational levels
- Ability to assist in the organization and planning of events
- Ability to handle confidential information
- Highly organized with the ability to juggle multiple projects and multitask
- Excellent written and verbal communication skills
Preferred Skills
- Associates or Bachelors in education, business, marketing, finance or related field
- Thorough understanding of intercollegiate/interscholastic athletics, college recruitment and the student-athlete experience
- Bilingual
Physical Demands and Work Environment
- Ability to lift, move, push and pull equipment or boxes in excess of 20lbs.
- Ability to move around academic building
- Ability to work flexible hours to include nights, weekends and holidays is required
