Position Overview
Marlborough School is seeking an experienced Auxiliary Services and Events Coordinator to manage a variety of events and programming on behalf of the School. The Auxiliary Services and Events Coordinator reports to the Auxiliary Services Manager and will oversee all aspects of event planning and management. The Auxiliary Services and Events Coordinator works across nearly every department of the School, supporting programming for the admissions, advancement/alumnae relations, student services, and spearheading School participation in campus-wide events. This position is responsible for both virtual events and programming as well as in-person events.
Essential Job Functions
Event Planning and Coordination
- Oversee and execute events within determined scope, timeframe, and budget.
- Collaborate with marketing & communication team, facilities, and other teams within the School to successfully execute planned events.
- Book virtual and in-person venues. Manage and foster vendor and client relations, serving as the primary event contact for the School.
- Monitor event trends and stay current with knowledge of new technologies and best practices.
- Communicate with event speakers, partners, and guests.
- Monitor and work within events budget. Negotiate contracts and submit invoices for payment.
- Assist with marketing communication and social media for select events as assigned.
- Determine goals and track analytics to gauge event participation and success.
- Source, procure and oversee delivery of event swag and other physical materials.
- Design, produce, and successfully execute events from conception to delivery.
- Deliver events on time, within budget, that meet or exceed expectations.
- Serve as the primary liaison with vendors and the School community on event-related matters; develop and maintain working relationships with vendors and venues.
- Conduct research and identify creative ways to improve the event planning and implementation process.
- Ensure events support the overall marketing and branding strategies of the School.
- Planning event details and aspects, including seating, dining, and guests
- Creating reliable financial reports and coordinating with other school personnel on timely payment processing.
Auxiliary Services Support and Other Duties
- Assist in training and overseeing student workers for the School’s Summer School Program.
- Assist with departmental administrative tasks and special projects as needed.
- Assist in managing the School’s in-house event calendar.
- Serves as a member of the support staff team.
- Performs other related duties as needed and assigned.
Position Requirements
- Bachelor’s degree strongly preferred
- 3+ years of experience creating and executing successful in-person and virtual events.
- Excellent organization and communication skills. Superb attention to detail and problem-solving skills.
- Excellent planning, execution, organization, and multitasking skills
- Ability to juggle multiple and sometimes complex projects.
- Strong sense of protocol in communicating with prominent individuals
- Creative thinker who can bring new ideas and energy to programming.
- Collaborative and results-oriented team player.
- Comfort with new technologies and willingness to learn new skills.
- Ability to work a flexible schedule including nights and weekends.
- Understanding of or experience in education preferred but not required.
- Knowledge of eSpace Event Management Software a plus
- Highly proficient with Microsoft and/or Google Office Suite
- Ability to lift up to 25 pounds
