The Administrative Assistant provides confidential executive level support to the Chief Advancement Officer, the Director of Development, and the Alumni & Development Team.
Specific Duties and Responsibilities include:
? Supports the administrative functions of the Alumni & Development Office, including assisting with or preparing formal written correspondence, emails, proofing, answering phone calls, as well as arranging, scheduling, and preparing materials for meetings, developing and maintaining office files, and other administrative needs.
? Coordinates all aspects of domestic and international travel arrangements.
? Enters donor related contact reports, letters, and emails in Raiser’s Edge database that are generated by the CAO, Head of School, and other campaign volunteers.
? Produces presentations used in campaign meetings and the meeting of the Board of Trustees.
? Helps support the Development Committee, the Committee on Trustees, and the Campaign Steering Committee, including producing meeting materials and minutes.
? Assists in all aspects of planning of campaign related small scale events such as Campaign Steering Committee meetings, dialogue dinners, and small campaign related gatherings.
? Runs reports to evaluate the progress of the campaign and the A&D team.
? Provides event support at the local, regional, national, and occasionally international level.
? This includes, but is not limited to nametag preparation, seating charts, check-in at event registration, event signage, and parking and transportation coordination.
? Drafts detailed minutes of the Alumni Council’s Fall, Winter, and Spring meetings.
? Responds to correspondence, including but not limited to the toll-free A&D line and email account and ensures coverage when out of the office.
? Oversees general office functions, including ordering of supplies, maintenance of the office machine, oversight of student workers, and oversight of the A&D whiteboard calendar.
? Manages the School’s master calendar and the accommodations for Board of Trustees and other special guests in the Walker House.
? Manages the A&D budget and credit card processing.
? Promotes and compiles class notes, including obituaries, for the Kent Quarterly and tracks all updates in the database.
? Ensures that the A&D team is aware of the Quarterly schedule, outline of content, and opportunities for profiles and promotions looking at the year ahead.
? Other duties as assigned by the Chief Advancement Officer and the Director of Development
A Bachelor’s degree and 3-5+ years of work experience in executive level support, preferably in an independent school setting is preferred.

Physical Requirements:
The physical demands listed below are representative of those that must be met by the employee to successfully perform the essential functions of the job:
? Requires substantial movement (motions) of wrists, hands, and fingers with keyboard use.
? Visual acuity within normal parameters.
? Ability to use visual display.
? Ability to lift and transport up to 10 lbs. without assistance.

? Successful completion of post-offer, pre-employment criminal background checks and drug test.
? Maintain punctual and regular attendance.
? Work is performed on a smoke free campus.
