Position Description:
Léman is seeking an energetic and detail-oriented Executive Assistant to support the Head of Early Childhood & Lower School (grades PreK-5). The ideal candidate should be a positive, collaborative individual who works well in a team and is accessible, approachable and welcoming. This is a highly visible position among faculty, students and parents that will be responsible for supporting the day-to-day operations of the division, including scheduling and calendar management, student attendance, special events, and project management. The ideal candidate will have experience in an educational setting and understand the multi-faceted nature of working in a school environment. In addition, the Executive Assistant will be able to manage confidential situations with discretion, respect, and sensitivity and bring a service mindset to the role. This is a 12-month position with generous vacation, personal and sick time and a full suite of benefits.
Primary Responsibilities Include But Are Not Limited To:
- Serve as the main point of contact for faculty and parents for information about the Center for Early Childhood & Lower School. Respond to or redirect inquiries as needed to help the division run smoothly and ensure information is shared to relevant parties.
- Manage the Head of Early Childhood & Lower School’s calendar. Collaborate with stakeholders across the school to schedule meetings, develop agendas, issue follow up communications and document meeting minutes as needed.
- Write and distribute division communications on behalf of the Division Head to faculty and parents, including weekly newsletters, important announcements and reminders.
- Support the logistics for school events such as student assemblies, performances and gatherings, parent teacher conferences, parent coffees and more. Liaise with facilities and IT teams as needed.
- Create presentations as requested for events such as faculty meetings, curriculum nights, and parent coffees using PowerPoint, Prezi, Keynote, etc.
- Manage daily student and teacher attendance and coordinate substitute teachers as needed.
- Oversee the creation of and repository of important documents such as class lists, master schedules, and student records.
- Serve as a communications liaison between the Early Childhood Center/Lower School and other departments in the school community.
- Represent the Early Childhood Center and Lower School at a variety of school social events and functions.
- Provide confidential, consistent, and professional support to the Division Heads, faculty, and staff.
Required Qualifications & Skills:
- Strong proficiency in Google Suite, Microsoft Office, Excel, Power Point, and word are required.
- Tech-savvy, fast learner and committed to continuous improvement.
- Excellent organizational, writing and editing skills.
- Ability to anticipate the needs of the office using independent judgment.
- Proactive, resourceful and skilled at collaborating with individuals across the organization in a range of roles.
- Ability to juggle multiple priorities and projects.
- Flexible, team player.
- Genuine interest in working in a school environment and interest in the lives of young students.
- Discretion and respect for confidential information.
