Headwaters School, a Pre-K through grade 12 independent day school serving 500 students across its three campuses in Austin, TX, is seeking a full-time Elementary School Campus Manager for the 2022-2023 Academic Year. This position directly to the Elementary School Director. The Campus Manager is a member of the administrative staff and works closely with the Advancement team, the Attainment team, faculty, staff, students, and parents.

Job Summary
The Campus Manager is charged with overseeing and managing the daily operations of the Elementary campus, including the upkeep of school property with the collaboration of the Senior Director for Finance and managing the front desk. The Campus Manager must be analytical, service-oriented, detail-oriented and have the ability to be flexible and multi-task in an ever-changing environment. It is essential for the Campus Manager to effectively interact with and serve a variety of constituents, including applicant parents, students, volunteers, faculty, and staff. Excellent communication, interpersonal, and organizational skills are essential. Computer proficiency is required.
Essential Job Duties and Responsibilities:
- Oversee daily facility operations of the Creek Campus, opening the office at 7:45, and closing it at 4:00.
- Answer multi-line phones, provide information, take and deliver messages and direct callers to appropriate individuals.
- Ancillary front desk responsibilities (two way radio batteries, mail, reception, procedural updates, Bus/Van reservations)
- Greet, welcome and assist all staff, students, parents, community members, vendors, callers and visitors to the school.
- Monitor building visitors, visitor sign-in procedures and building activities including crisis situations such as building evacuations, lockdowns, emergency situations and safety procedures. Facilitate emergency drills and implement emergency protocol when needed
- May initiate crisis procedures in the administrator's absence with direction from appropriate officials.
- COVID-19 mitigation and management as needed (contact tracing support, communication support, ordering of PPE and testing supplies, etc.)
- Coordinate the safety and security of staff, students, and/or property (e.g. building keys, check in/check out of visitors, students, and staff, etc.) for the purpose of minimizing exposure to injury, loss and/or liability. Serve as the first point of contact for emergency services as needs arise.
- Maintains inventories of supplies, equipment, and materials (e.g. ordering, scheduling maintenance or repair, etc.) for the purpose of ensuring the availability of items needed.
- Assist the Senior Director for Finance Director in creating and overseeing maintenance agreements as well as overall maintenance of the Creek Campus, as needed and appropriate.
- To support the school and its leadership.
- Work closely with the Director of Elementary to oversee all building projects and events.
- Manage Maintenance Staff, as well as parent &/or student volunteers.
- In collaboration with Registrar, collect and process enrollment paperwork and assist in maintaining student files including the coordination of audits and student health/immunization records
- Provide support during occasional weekend and evening events on the school calendar.
- Provide and keep current student emergency contact information and emergency action plans for all staff who work with students.
- Run errands as needed.
- In collaboration with the Director of Elementary manage the operational budget for the Creek Campus ensuring timely and proper expense reporting; keep track of and order campus supplies as needed
- Monitor campus attendance emails, and update attendance records accordingly.
- Work with Auxiliary Programs Manager, Summer Camp Manager and Business Office to coordinate facilities access for all aux programs.
- Manage vehicle pool and transportation schedule
- Administer basic First Aid and medication
Job Qualifications:
- Bachelor’s Degree preferred
- Excellent verbal and written communication skills; comfortable speaking to diverse audiences
- Previous experience working with children preferred
- Working knowledge of building management preferred
- Professional in person and through online and telephone communications
- Passionate about education and children
- Strong analytical skills including organization, ability to work with systems in place and to come up with solutions
- Proficient in using Excel and Google Suite, including Gmail, Drive, Docs, Sheets, Calendar, and beyond
- Ability to be flexible to achieve goals in a dynamic environment
- Experience with Blackbaud Student Information Systems and Magnus Student Health Record system preferred
This is an exempt, salaried position. Normal office hours will be Monday - Friday, 7:45 am - 4:00 pm. Occasional nights and weekends will be required. This is a full-time, salaried, exempt position and compensation is competitive for the greater Austin area.
