POSITION SUMMARY
William Penn Charter School is a Quaker, coeducational, pre-K-12 independent, day school in the East Falls neighborhood of Philadelphia. The Administrative Assistant for Middle and Upper School (MS/US) Admissions will provide direct support to the Director of Enrollment Management (DEM) and MS/US admissions staff. The person in this position supports, monitors, and owns tasks related to the admissions process. The scope of work includes organizing and managing prospective new student data and files along with acting as the public and welcoming face of the admissions office to applicants, their families, and visitors.
*Please note - this is a 12-month position.
Essential Functions
- Manages and helps complete admission applications for grades 6 through 12
- Maintains database of inquiries and applications for grades 6 through 12
- Schedules prospective parent and student interviews, visits, and tours
- Supports the administrative needs of the Director of Enrollment Management (DEM) and MS/US admissions staff
- Manages calendars for DEM and MS/US office staff
- Collaborates and helps coordinate admissions office events
- Manages admissions office Zoom account; schedules and hosts all virtual admissions events
- Manages all applicant files in Evernote and ensures proper order of all documents
- Schedules MS/US admission committee meetings
- Coordinates delivery of applicant decisions, acceptance videos, and acceptance packages
- Assists Director of Financial Aid with re-enrollment and financial aid award letters
- Enrolls all new and returning students for grades 6-12
- Creates and executes email correspondence from database to prospective families
- Coordinates SSAT and ISEE testing dates
- Transcribes, proofreads and types documents and correspondence
- Assists with preparation of admission reports
- Maintains inventory of admissions materials and re-order as required
- Receives and distributes office mail
- Other duties as assigned by the Director of Enrollment Management or Associate Director of MS/US Admissions

Physical demands
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times

Required Qualifications
- College Degree (Extensive experience may be considered in lieu of)
- Experience working in an admissions department or academic environment
Preferred Qualifications
- Familiarity with Quaker Education and the Religious Society of Friends
- Experience working in a PK-12 school environment
