We are looking for an enthusiastic, patient, detail-oriented, warm, and friendly person to join our admission team as an Admission Coordinator. This position supports the admissions team with events, marketing, database management, and other office functions. This person is an integral part of the admissions team, and often the first point of contact for families and other constituents seeking information about Castilleja. Excellent communication skills and the ability to manage multiple tasks and enjoy the challenges of working with a diverse group of people in a fast-paced environment are essential. The Admission Coordinator enjoys interacting with middle and high school students and their families and is excited to learn about independent school administration and admissions practices. Some evening and weekend hours are required.
Responsibilities: Specific duties include, but are not limited to, the following:
- Supports applicants and their families throughout the application process, responding to the majority of phone inquiries and general email
- Manages online the application database (Ravenna), and other data and enrollment management processes
- Assures accurate, comprehensive, and up-to-date records for the admissions database
- Assists in planning and execution of admission events and campus visits for prospective students
- Assists with outreach and recruitment efforts, which may include representing Castilleja during student visits, school fairs, admission events, and other information sessions that occur in-person, in virtual settings, as well as on and off campus
- Liaises between the Business, Student Services, Communication and Health Services departments to ensure consistent and timely transfer of information
- Organizes and oversees mailings, correspondence, and clerical office tasks
- Provides general office support
- Performs other work-related duties as assigned by the admission team
Skills and Abilities Must Have
- Excellent communication and interpersonal skills, including cross-cultural competencies, to relate well with a broad range of constituents including students, faculty & staff, administration, parents, and the community
- Excellent computer skills, working knowledge of MS Word, strong Excel, and fluency in Google’s suite of applications are required
- Ability to work with middle and high school students and parents
- Excellent event planning skills
- Ability to complete projects in a timely, organized fashion
- Ability to work collaboratively and independently
- Ability to maintain a calm demeanor and a sense of humor while performing multi-functional, time sensitive, and multi-task operations.
- High level of accuracy, energy, initiative, and flexibility
- Ability to maintain confidentiality when dealing with sensitive information
Preferred Skills and Abilities
- 3-5 years in administrative support capacity in a fast-paced, high volume office
- Independent school or college administrative experience is preferred but not required
- Knowledge of Admission software Veracross and Ravenna are preferred but not required (willing to train!)
- Bachelor’s degree preferred
- Bilingual Spanish/English abilities strongly preferred
