The Development & Alumni Relations Assistant serves as the office manager, supporting a fast-paced, mission-driven office. Success is determined by attention to detail, accuracy and efficiency in database management and customer service, in addition to their contributions in communications and volunteer engagement.
Guided by the schools vision and values, Latin School of Chicagos alumni and development staff cultivate strong and meaningful connections that foster pride, advocacy, and philanthropic support. The department helps to fulfill Latins mission and strategic goals in a personal, inclusive, and inquiry-based manner.
Essential Duties/Responsibilities:
- Partners with and provides support for dynamic alumni relations, annual giving, events, board management, and major gifts efforts
- Serve as the primary office manager, supporting the Chief Development Officer and members of the 10-person team
- Processes donations, prepares donor acknowledgement letters, and ensures accurate donor recognition
- Assists with annual audit requests and the preparation of reports for the finance office
- Helps maintain the accuracy, integrity, and institutional memory of the schools databases
- Maintains gift records and regularly reviews document retention and destruction standards
- Prepares quarterly pledge reminders
- Provides alumni event planning logistical support and coordination
- Assists with the volunteer and donor stewardship
- Coordinates reunion-class volunteers under the direction of the alumni team as assigned
- Assists in the writing of alumni communications, including class notes, and alumni news updates
- Assists with updating and content creation of alumni social media accounts and alumni networking site
- Is knowledgeable about Latin and department activities
- Other duties as assigned
This is a full-time, year around position reporting to the Director of Advancement Services.
Education and Experience:
- Bachelors degree or equivalent preferred
- Demonstrated database management experience
- Experience with customer service, project management, reporting and analysis
- Prior experience with Blackbauds Raisers Edge is preferred

- Organized self-starter, with impeccable attention to detail, and the ability to manage multiple, competing priorities
- Strong verbal and written communication skills

- Excellent interpersonal and customer service skills
- Must have a strong drive for accountability by demonstrating great time management skills and a determination to meet deadlines
- Ability to work in a high-paced environment and effectively pivot from one discipline to the next on a frequent basis
- Strong technical skills with a demonstrated proficiency with Microsoft Office Suite
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Ability to work some evenings and weekends
